Distinguishing Features of the Class
An employee in this class performs a variety of public contact, secretarial, record keeping, and clerical duties. Work includes filing, serving as receptionist, relaying information, or records maintenance work. The employee is expected to have a general understanding of the work unit and its services to respond to inquiries and perform the daily functions; non-routine questions or situations are referred to others. Specific oral and/or written instructions are available to apply to most work situations.
Work is evaluated through observation, conferences, and the quality and effectiveness of work completed.
Duties And Responsibilities
Essential Duties and Tasks
Record sales on register receipt, figures sales tax and calculates total sales for purchased made by gift shop customers. Utilize consignment software program for gift shop transactions and required reports.
Collect monies for sales made by customers and returns change to them as needed.
Processes credit cards purchases through credit card machine.
Maintains a set amount in the cash drawer with appropriate increments of bills to make change as needed.
Drives to the bank to make deposit or obtain change as needed.
Records sales daily, balancing receipts with cash and checks received and records total on a weekly sales report.
Prepares deposit slip balancing the amount on the weekly sales report with cash and checks, and credit card purchases for deposit on a weekly basis.
Records weekly sales on a monthly sales report and calculates the total monthly sales.
Prepares consignor settlement reports on a monthly basis and submits to Bookkeeper for check creation.
Receives, records, and labels consignment merchandise received from senior vendors or taken out of the shop by vendors.
Receives, records, and labels merchandise purchased from various wholesale suppliers.
Travels to gift shows as need to purchase wholesale items as needed.
Essential Duties And Tasks
Replenishes available merchandise, and prepares an inventory of items for the Bookkeeper that need to be ordered in a timely manner.
Keeps merchandise, shelves, desk and shop straightened and cleaned as needed.
Assists Senior Center staff with various clerical duties as directed by Senior Services Manager.
Creatively arranges and re-arranges merchandise periodically to encourage sales or showcase a different vendor.
Additional Job Duties
Delivers correspondence and mail to City Hall for staff as needed.
Assist in setting up rooms for various meetings/activities and assisting with events/trips as needed.
Assist with the keying of data into the MySeniorCenter system such as class/activity rosters and participant registration forms.
Backs up transportation coordinator/receptionist as needed.
Complete required training including I.T. training about computer safety and security.
Performs related duties as required and as directed by the Senior Services Manager.

Knowledge, Skills, And Abilities
Some knowledge of office practices and procedures.
Experience with computers and the ability to learn and utilize the various computer programs used by the Senior Center, including consignment software programs and the My Senior Center Program.
Some knowledge of grammar, spelling, and vocabulary.
Ability to communicate effectively in person and by telephone.
Ability to be tactful and courteous.
Ability to follow oral and written instruction and procedures.
Ability to operate or quickly learn to operate any office machines required by the position such as calculator, fax machine, copier, or other equipment.
Ability to type or input data with accuracy at the speed required by the particular program or position utilizing the services of this role.
Ability to learn and apply filing and coding systems and to arrange and place records, reports, and files into a proper sequence.
Ability to compile information from data processed or records kept.
Ability to establish and maintain effective working relationships with the general public and other employees.
Ability to learn and follow the city policies, rules and regulation regarding the Senior Center offices and safety.
Ability to flex hours upon occasion to help me the programming and staffing needs of the Patrick Center.
Physical Requirements
Must be able to physically perform the basic life operational functions of fingering talking, hearing and repetitive motions.
Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
Must possess the visual acuity to prepare figures and data, proof work, and do extensive reading.
Desirable Education And Experience
Graduation from high school, and some secretarial or clerical experience, and retail experience both involving public contact; or an equivalent combination of education and experience.
Preferred Retail And/or Sales Experience.
Special Requirement
Possession of a valid North Carolina driver’s license.
