Join a newly established surgical practice at Brisbane Private Hospital as a Clinic Receptionist/Secretary. This full-time, permanent position (Monday to Friday, 8:30am to 4:30pm) offers the opportunity to work closely with a busy Orthopaedic Surgeon, overseeing day-to-day clinic operations, theatre bookings, patient billing, and receipting.

You will collaborate with two Senior Secretaries and a remote Medical Typist, with support from an experienced Business Manager. Enjoy a dynamic, supportive environment with autonomy and responsibility—without the need for overtime, late finishes, or weekend work.

Key duties and responsibilities will include (but not limited to):

  • Handle all incoming telephone calls and general patient inquiries.
  • Prepare and manage patient clinics at the Brisbane Private Hospital site and assist with administration for external remote clinics (no travel required).
  • Manage incoming email correspondence and ensure patient files are complete with all necessary results and documentation for consultations.
  • Prepare theatre quotes, schedule theatre procedures, and liaise closely with hospital staff and anaesthetic teams.
  • Process patient payments, including receipting for consultations and inpatient/surgery billing (using Genie/Eclipse).
  • Accurately enter patient information into Genie software.
  • Provide ad-hoc secretarial support to the Surgeon, including urgent letters and other administrative assistance.

In addition to the key duties and responsibilities, Candidates must be able to demonstrate:

  • A minimum of 3-5 years’ experience in a Medical Secretary role, preferably within a surgical specialist practice (candidates with a background in Orthopaedics are strongly encouraged to apply).
  • Solid understanding of Medicare, DVA, ADF/BUPA, WorkCover, and Private Health Fund billing.
  • An exemplary telephone manner with the ability to show empathy to patients and their families.
  • A strong team player, capable of working both independently and collaboratively in a small, friendly team.
  • Exceptional time management and organisational skills.
  • Strong computer/IT skills; prior experience with Genie and/or Gentu is highly regarded.

Remuneration

A competitive hourly rate of $40 – $45 per hour + superannuation is offered to a suitably experienced candidate, along with a thorough onboarding and induction program. The position includes access to car parking and convenient public transport options surrounding the practice.
