Country Management Unit Context

The World Bank’s Gulf Cooperation Council (GCC) Country Management Unit (CMU) is the principal liaison between the World Bank and the six Arab States of the GCC, namely Bahrain, Kuwait, Oman, Qatar, Saudi Arabia and the United Arab Emirates. The GCC Country Department manages the relationship with the GCC countries and GCC regional development organizations, working closely with the WBG technical departments to provide advisory and technical services. . The GCC Country Department is managed through four offices: a Regional Office in Riyadh, KSA, a Country Office in Kuwait, a Country Office in Abu Dhabi UAE, and an HQ unit in the World Bank HQ in Washington, D.C.

The Administrative Assistant will join the Regional World Bank Group Office in Riyadh, a vibrant regional office that manages a growing portfolio of advisory and knowledge services, working in close partnership with government and private sector institutions in Saudi Arabia and the GCC countries. The office houses a diverse team of local and international sector specialists and operations support staff. The World Bank team includes a Program Manager, Program Leaders that represent the four World Bank Verticals (Prosperity, Planet, People, Infrastructure/Digital), a Senior Knowledge Officer, and a Senior Communications Officer for the World Bank. The office also includes a team from the International Finance Corporation (IFC) and the Multilateral Investment Agency (MIGA) – working together with the World Bank as one World Bank Group team. The office manages a wide array of strategic and results-oriented activities that support the achievement of the Vision 2030 and the government’s longer-term goals.

The World Bank is seeking to recruit a highly qualified candidate for the position of Administrative Assistant in the Saudi Arabia Country Office. The Administrative Assistant will be based in Riyadh Country Office, and will report to the Program Manager for the GCC based in Riyadh, Saudi Arabia.

Roles & Responsibility

  • Coordinate with MOFA, banks, and other government agencies to facilitate services and protocols.
  • Process visa requests for visiting missions and relocating staff and families.
  • Manage office logistics, including moves and transitions, and recommend system improvements.
  • Supervise work distribution among drivers, ensuring fairness and effective time management.
  • Train colleagues as back-ups for protocol tasks and support team collaboration.
  • Handle logistics for high-level visits in coordination with relevant staff.
  • Maintain professional communication with colleagues, including non-Arabic speakers, and resolve issues promptly.
  • Demonstrate leadership, problem-solving, and a commitment to achieving results.
  • Communicate fluently in English and adapt to evolving responsibilities.

Selection Criteria

  • Three (3) years relevant work experience in a large organization or multinational corporation.
  • Ability to acquire/apply working knowledge of general software applications such as MS Word, Excel, SAP and PowerPoint to enhance efficiency.
  • Proficient to effectively communicate in English (verbal and written).
  • Display understanding of World Bank policies and procedures relevant to the area of assigned responsibilities and can apply/ implement them.
  • Ability to manage various tasks, deal with rapidly shifting priorities, provide support to staff and deliver against competing timelines.
  • Capacity to work simultaneously, effectively and efficiently on a variety of diverse issues and tasks, independently adjusting priorities and achieving results with agreed objectives and deadlines.
  • Capacity to deal sensitively in multi-cultural environment and build effective working relations with clients and colleagues at all levels.
  • Committed team player with demonstrated ability to effectively work in a collaborative fashion across organizational boundaries.
