We are looking for an experience and efficient corporate receptionist who is ready to move into a role will additional facility management and event responsibilities. You will relish a challenge and be highly organised, managing contractors and updating reports to support the off-site building manager.

The role is based in a fabulous office building which is a short walk from Temple Meads Station. You will deliver an exemplary tenant service and visitor experience, understanding the importance of implementing pop ups and events that help to create a community vibe in the building. You should be well presented with proven experience and confident to take ownership of this varied role.

Salary – £28,500 pa

Hours – Monday to Friday 8.00am – 5.00pm

1 hour lunch break

Start – ASAP

Key Responsibilities

Reception

  • You will become the face of the building, ensuring everyone receives a warm and professional welcome
  • Take ownership of the reception area, always looking for ways to improve the service delivered to everyone visiting or working in the building
  • Meeting, greeting and registering all visitors to the building, following appropriate protocols
  • Managing deliveries, including couriers and post
  • Develop a good understanding of the local area, using this information to create a local amenities information file
  • General administration, as required

Building management

  • You will quickly establish yourself as ‘the face of the building’ and the go to person for questions / queries
  • Work closely with the off-site Building Manager – confidently reporting building issues and helping manage to resolution
  • Develop strong working relationships with the local letting agents and support them by ensuring any vacant office space is kept pristine in preparation for viewings
  • You will build a rapport with all service partners (contractors, cleaners, security) to ensure consistency of standards
  • Manage contractors visiting the building to undertake regular maintenance, issuing keys as required and updating the progress / maintenance log
  • Produce a weekly update report for key stakeholders

Tenant experience and community engagement

  • Develop and introduce seasonal events for those working in the building, to create a sense of community and aid enjoyment in the workplace – this could include freebies, discounts, pop ups, running clubs
  • Produce a monthly e-newsletter to update tenants on initiatives to encourage uptake and participation, ensuring content is always on brand

Skills, Knowledge and Expertise

About you

  • Proven experience in a front of house reception role and are ready for a new challenge
  • You have facilities management experience (desirable)
  • Personable and proactive with a confident manner and able to deliver impeccable customer service
  • Proactive, self-motivated and thrive in an environment where you are required to multitask
  • Excellent written / verbal communication skills and able to confidently communicate with key stakeholders
  • You are a competent Microsoft Office / PC systems user and willing to learn in house systems and processes
