The Role
As Office Assistant you will take on a varied and challenging role. The aim of the role is to create a welcoming, safe, clean and well-maintained office environment where all our key stakeholders have all the amenities/facilities needed to work safely and effectively. The duties include:
- Opening the office and ensuring the office is set up for the day ahead.
- Manage all servicing, repairs and general office maintenance.
- Liaising with our Health and Safety providers to ensure our building remains health and safety compliant.
- Managing all the annual, quarterly, monthly, weekly health and safety tasks
- Managing office supplies including IT equipment, stationery, tea, coffee, etc.
- Office administration including managing the meeting room diary system, managing Talos360 office inbox.
- Supporting key stakeholder with any events within the office
- Managing the service level agreement with the office cleaning contractor
- Ensuring all communal areas within the office remain clean and tidy.
- Meeting and greeting visitors and offering refreshments.
- Supporting the People Director with ESG initiatives.
- Managing equipment asset trackers.
- Managing the stock and distribution of all IT equipment.
- Managing new starter equipment process – ensuring all new starters have the right equipment to fulfil their role.
- Dealing with any ad-hoc administrations tasks
- Support People Director with HR Administration
We are looking for applicants with the following skills for this role:
- Previous experience within an administration role
- Be able to dynamically multitask with the ability to prioritise tasks, ensuring that all tasks are completed to a high standard.
- Proactive and motivated
- Understanding of health and safety compliance
- Given the nature of this role, it is essential that you are able to maintain confidentiality and discretion at all times.
- Ability to work using own initiative
- High attention to detail
- Proficient with MS Excel, Word and Outlook
