Job Summary: We are seeking an organized and detail-oriented Secretary to provide administrative support and ensure smooth office operations. The ideal candidate will be responsible for managing schedules, handling communications, and performing general office duties to support the team and ensure efficiency.
Key Responsibilities
- Answer and direct phone calls, take messages, and handle inquiries.
- Schedule appointments and meetings, and manage calendars for executives or staff.
- Organize and maintain office files and records, ensuring easy access to information.
- Handle incoming and outgoing mail, and ensure proper distribution.
- Coordinate office supplies and equipment, and manage inventory.
- Greet and assist visitors, clients, or guests.
- Perform general clerical tasks including photocopying, faxing, and filing.
- Maintain confidentiality of sensitive information.
- Support office management in day-to-day operations.
Skills, Knowledge and Expertise
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Excellent organizational and multitasking abilities.
- Ability to handle sensitive information with discretion.
- High school diploma or equivalent required; additional administrative certifications or qualifications preferred.
