Who are we looking for?
GHD is searching for an Executive Assistant to support RGM Chile & Management Team. This position requires professional and administrative support, including diary management, organization of travel itineraries, and internal and external meeting coordination. The Executive Assistant will create a sense of community, representing the GHD values to the larger enterprise. Flexibility coupled with maintaining a high level of integrity and confidentiality are crucial to this role. This role is to be based in our Chile office. GHD supports a hybrid work model.
In this diverse role you will:
- Coordinate and manage international and domestic travel; arrange detailed travel plans and agendas for travel-related meetings
- Manage scheduling including calendars management, phone calls, meetings, and other company logistics
- Support the production and coordination of quality documents which may include meeting agendas, minutes, presentations, white papers, etc.
- Effectively coordinate and follow-through on the activities and commitments of the Executive member.
- Organise meetings and broader events as required including attendee invites, room bookings, accommodation, catering etc.
- Maintain a high level of confidentiality and discretion as required.
- Provide support to the Executive Leadership Team as required.
- Undertaking any ad hoc tasks / projects required.
- Ensure expenses are processed timely and accurately
- Provide EA back-up support to the Americas Leadership Team.
- Work in a fast-paced environment and navigate shifting priorities
- Cultivate strong relationships with internal and external stakeholders to facilitate collaboration and achieve strategic objectives.
What will you bring to the team?
- College diploma or University degree
- 5 years’ demonstrable experience in a similar role
- Previous project management experience
- Excellent verbal and written communication skills in English
- Understand the need for confidentiality when dealing with sensitive information and correspondence
- Motivated self-starter with a strong work ethic and the ability to work under limited supervision
- Very organized, with the ability to navigate shifting priorities. Strong time management and coordination skills.
- Sound judgement and an ability to effectively prioritize and juggle
- Experience dealing with diary management and international travel arrangements
- Experience planning and organizing meetings with strong attention to detail.
- Ability to work effectively at the leadership and executive level gaining trust and confidence of others.
- Take pride in delivering high quality work
- Highly proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams) and Copilot (AI)
- Demonstrated ability to thrive in a collaborative team-based environment
- Strong interpersonal skills and the ability to develop positive and lasting relationships with colleagues and clients
