Job Summary:
We are seeking a highly organized and efficient Administrative Assistant to join our team. The ideal candidate will possess excellent communication skills, a keen attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Administrative Assistant will play a key role in supporting daily office operations and ensuring smooth administrative workflows.
Key Responsibilities
- Answer and direct phone calls in a professional and courteous manner.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Maintain and organize files, both physical and digital, ensuring easy access to documents.
- Prepare and edit correspondence, reports, and other documents as needed.
- Perform data entry and maintain accurate records of business transactions and office activities.
- Assist with preparing and processing invoices, purchase orders, and other financial documents.
- Manage office supplies inventory, order necessary items, and track deliveries.
- Support with event coordination and other special projects as needed.
- Greet visitors and provide them with relevant information or direct them appropriately.
Skills, Knowledge and Expertise
- High school diploma or equivalent; associate degree or higher preferred.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving abilities.
