Job Summary:
The purpose of the Administration Assistant position is to deliver essential administrative support that aids the smooth operations of the organization and its business entities. This assistance ranges from quoting and customer service assistance to human resource support.
Responsibilities:
- Answer calls, take messages, and redirect as needed
- Assist with administrative tasks, staff travel, and accommodation
- Support colleagues with administrative requests
- Manage the ‘Referral’ inbox and respond to inquiries
- Create and follow up on Leads, Quotes, and Jobs in CRM
- Send client reports
- Assist with system maintenance and IT support
- Maintain CRM data integrity
- Identify process improvement opportunities
- Assist with client bookings, staff rostering, and shift cover
- Support onboarding, offboarding, and uniform management
- Handle after-hours client and staff issues
- Arrange urgent shift cover and communicate changes
- Enter client notes and billing time into WFM
- Assist with meetings, minute-taking, and special projects
- Ensure compliance with health and safety standards
- Maintain adherence to WHS policies
- Enthusiastic, confidential, friendly, and collaborative
- Demonstrates a ‘can-do’ attitude and integrity in decision-making
Requirements:
- 2+ years in a relevant administrative role
- High attention to detail and financially inclined i.e adept in quoting or similar financial tasks
- Experience in Google Suite, and Microsoft (email, Word, Excel, PowerPoint) including formatting of documents and able to learn new innovative technologies and processes quickly
- Proven customer service and general office duties experience
- Experience in database entry and maintenance
- Excellent time management skills and consistency in meeting deadlines
- High-level customer service mindset, with a collaborative and flexible approach
- Ability to work in a team environment and autonomously
- Strong organization skills with a problem-solving attitude
- Excellent written and verbal communication skills
- Experience working in a healthcare company is preferred
- Understanding and familiarity with medical/nursing terminology is a plus
- Qualifications in Office Administration/Business Administration
Work Schedule:
- 11 am to 8 pm Manila Monday to Friday (Should be flexible with the schedule)
Work Location:
- 18th Floor, Citibank Square, Eastwood City Cyberpark, Quezon City, 1110 Metro Manila
