Job Title: Executive Assistant

Type: Full-Time, Remote

Working Hours: Mondays – Fridays, 9:00 am – 5:00 pm PST

Compensation: $2,000 per month

Role Overview

We are seeking a highly skilled and detail-oriented Executive Assistant to support our CEO. In this role, you will manage the executive’s day-to-day tasks, assist in key business initiatives, and play a critical part in the company’s success by ensuring the smooth coordination of projects, communications, and operations. Key Responsibilities

  • Administrative Support: Manage the CEO’s calendar, including scheduling meetings, calls, and internal/external appointments. Coordinate travel arrangements and keep records organized and up-to-date.
  • Finance Support: Assist with basic bookkeeping, AR/AP processes, and other key financial processes. Coordinate with external accountants and service providers.
  • HR Support: Assist with onboarding documentation, maintain employee records, and coordinate team activities. Support recruitment administration, track employee attendance, and help with benefits administration. Maintain confidential personnel files and assist with HR compliance documentation.
  • Project Management: Help track and manage timelines for ongoing projects. Provide regular updates to the CEO and ensure key deliverables are met on time.
  • Document Management: Prepare, organize, and maintain confidential documents, reports, and presentations for internal and external use.
  • Event Coordination: Assist in organizing company events, meetings, and conferences. Manage logistics, communications, and follow-ups for both virtual and in-person events.
  • Ad Hoc Tasks: Handle miscellaneous tasks as required, including personal assistance to the CEO on occasion, to ensure the smooth operation of the company.

Key Qualifications

  • Experience: Minimum 2-5 years of experience as an administrative or executive assistant in a fast paced startup environment.
  • Skills: Strong written and verbal communication skills, with excellent attention to detail. Proficient in Microsoft Office Suite and project management tools.
  • Tech-Savvy: Comfortable with various software platforms and tools. Familiarity with CRM systems and scheduling software is preferred.
  • Interpersonal Skills: Strong emotional intelligence and professionalism, with a customer-centric approach to communication. Ability to manage multiple priorities and stakeholders effectively.
  • Self-Starter: Proactive, organized, and able to work independently in a fast-paced environment, anticipating the CEO’s needs.
  • Passion for health care: Knowledge, experience, or enthusiasm for the healthcare industry.
