Job Description

POSITION SUMMARY

The Administrative Assistant provides administrative and clerical support for the Pharmacy department and 340B Program as directed. Performs a variety of administrative support including but not limited to; meeting support for the Pharmacy & Therapeutics Committee and other meetings as assigned, including minute taking, conference room set-up, follow up action assignments and agenda and minutes distribution. Records support and tracking of human resources and compliance requirements for staff, coordination of meetings for department leaders, onboarding and orientation of new staff, supply ordering, and assistance with surveys and audits. Must maintain a high degree of confidentiality at all times. This position coordinates multiple requests while effectively and efficiently handling daily routine activities.

Education/Licensure/Certification

POSITION QUALIFICATIONS

  • High School Diploma or equivalent required

Knowledge

  • Minimum of two years secretarial experience in a healthcare setting
  • Intermediate medical terminology
  • Knowledge of basic records maintenance and retrieval systems.
  • Proficiency in Windows based word processing and spreadsheet software and basic office equipment familiarity are required.

Skills

  • Typing of 50+ CWPM
  • Excellent organizational skills and flexibility.
  • Excellent clerical skills, including accurate filing, concise minutes recording and report presentation, typing and computer experience preferred, including Microsoft Word, Publisher, Excel (including sorting/pivoting), PowerPoint.
  • Ability to operate photocopier, facsimile, telephone, department computer systems and other equipment as indicated.
  • Excellent interpersonal, oral and written communication skills
  • Ability to make reasonable, independent decisions in the absence of immediate direct supervision within hospital and department guidelines.
  • Ability to work in a fast-paced environment with frequent interruptions, to reprioritize work as needed and work with minimal supervision.
