JOB TITLE: Scheduler – Dental

DEPARTMENT: Operations – Dental

SUPERVISOR: Practice Manager

Job Summary

Under the direct supervision of the Practice Manager, the Scheduler is responsible for scheduling patient appointments. The Scheduler confers with incoming and outgoing patients/visitors, assisting them as needed. The Scheduler interacts with patients/visitors in a courteous, appropriate, respectful manner at all times and without exception. This position receives incoming calls and routes appropriately. The Scheduler shall take messages when necessary and shall forward such to the intended party in a timely, responsible manner. This position performs the following duties in accordance with the established policy and procedures of New Horizon Family Health Services.

DUTIES PERFORMED

  • Receives incoming telephone calls, transfers calls to appropriate department or person. Forwards messages in a timely manner.
  • Screens telephone calls, takes messages, records received information accurately and disseminates messages to appropriate person.
  • Maintains daily patient appointment scheduling, answers incoming telephone calls, makes patient appointment reminder calls, and retrieves medical records, if necessary.
  • Registers and/or updates patient demographic information into the patient accounting system on a daily basis.
  • Notifies member of management of suspicious activity observed in or around Center property.
  • Maintains a neat/well-organized work area.
  • Provides cross coverage for the Patient Service Representative position as required.
  • Participates in CQI, other internal committees, special projects/observances or activities that promote improvements in organizational performance and/or advance the mission, goals and objectives of New Horizon Family Health Services.
  • Must hold all patient Protected Health Information (PHI), other patient personal information and agency information in confidence, in accordance with the attached Employee Confidentiality Statement.
  • Actively participate in and comply with all aspects of the NHFHS Corporate Compliance Program, follow the Program Code of Conduct and obey all relevant laws, statutes, regulations and requirements applicable to Medicaid, Medicare and other State and Federal health care programs.
  • Performs end of day (EOD) and end of month (EOM) tasks and reporting.
  • Observes schedule for work, lunch and breaks.
  • Performs any other duties as assigned by the Practice Manager, Chief Operating Officer, CEO or designee in their absence.
  • Help with incoming referrals (HCH, GHS PACE, etc. )

Qualifications

Education

A minimum of high school diploma or equivalent.Secretarial/Office/business system training and/or experience.

Experience

Preferably two (2) years experience in medical office, telephone switchboard operator or related area.

  • Has ability to speak and communicate effectively with co-workers, patients and the public.
  • Has pleasant personality, pleasing, professional appearance and disposition.
  • Must be punctual and extremely reliable.
  • Has ability to understand and follow in detail both verbal and written instructions.
  • Exercises discretion and sound judgment when dealing with patients, visitors and co-workers.
