Event Assistant

Position Overview
We are seeking a motivated and detail-oriented Event Assistant to support the planning, coordination, and execution of events. This role involves working closely with the Event Manager and team to ensure all aspects of events run smoothly and successfully. The ideal candidate will have excellent organizational skills, a proactive attitude, and a passion for event management.

Key Responsibilities

Event Planning & Coordination:

  • Assist in the planning and organization of events, including meetings, conferences, trade shows, and social gatherings.
  • Coordinate with vendors, suppliers, and venues to confirm logistics and requirements.
  • Assist in preparing event schedules, timelines, and checklists.


Administrative Support:

  • Maintain detailed records of event expenses, budgets, and invoices.
  • Prepare and distribute event materials, such as invitations, agendas, and promotional materials.
  • Manage RSVPs and attendee lists, ensuring accurate records.


On-Site Event Support:

  • Assist with event setup and teardown, including decorations, equipment, and seating arrangements.
  • Serve as a point of contact for attendees, vendors, and staff during the event.
  • Monitor event activities to ensure compliance with schedules and troubleshoot any issues that arise.


Marketing & Communication:

  • Collaborate with the marketing team to promote events through social media, email campaigns, and other channels.
  • Respond to event inquiries and provide information to potential attendees.
  • Gather feedback from participants to evaluate event success and suggest improvements.

Skills, Knowledge and Expertise

  • High school diploma or equivalent; a degree in event management, hospitality, or a related field is a plus.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent) is a plus.
  • Ability to work under pressure and meet tight deadlines.
