Role Overview
This role is for an organized Scheduling Assistant who will help manage scheduling activities and coordination tasks. The position involves handling appointments, keeping calendars current, communicating schedule updates, and helping ensure people and resources are allocated efficiently.
Key Responsibilities
- Plan and coordinate day-to-day schedules, appointments, and booking arrangements.
- Support workforce scheduling and resource allocation activities.
- Track calendars and revise schedules in line with changing operational needs.
- Share timing changes and updates with the relevant people and teams.
- Keep scheduling records, databases, and reports accurate and up to date.
- Spot scheduling clashes and work to resolve them quickly.
- Work with internal teams, clients, vendors, and other external contacts as required.
- Assist with operational planning and general administrative coordination.
- Prepare reports related to scheduling and performance.
- Contribute ideas to improve scheduling workflows and overall efficiency.
Requirements
- A diploma or bachelor’s degree in Business Administration, Operations Management, Administration, or a similar discipline.
- Fresh graduates may apply; 1–3 years of background in scheduling, administration, coordination, or operations support is an advantage.
- Well-developed organization and time management abilities.
- High accuracy and strong attention to detail.
- Good communication and interpersonal skills.
- Ability to juggle several priorities and meet deadlines.
- Comfort using Microsoft Office tools, especially Excel, Outlook, and calendar management software.
- Practical problem-solving skills and flexibility when schedules change.
- A proactive, dependable, and collaborative approach to work.
Preferred Background
- Exposure to scheduling, workforce management, CRM, or project management systems.
- Familiarity with tools such as Microsoft Outlook, Microsoft Bookings, Calendly, Google Calendar, or similar platforms.
- Experience in customer service, operations, healthcare, logistics, consulting, or other service-oriented sectors is an advantage.
- Strong data entry and reporting capability.
- Experience handling large or high-volume schedules is a plus.
