Role Summary
As an Executive Assistant in the newly launched Miami office, you will provide dedicated support to as many as four senior leaders while also helping with office facilities and event coordination. This position plays an important part in establishing and supporting the local team, improving leadership efficiency, and contributing directly to the company’s overall performance.
Key Responsibilities
- Deliver broad administrative support to senior executives, including managing calendars, arranging meetings, and coordinating travel.
- Screen, organize, and prioritize meeting requests so leadership is prepared with the right information in advance.
- Work closely with other executive support staff to keep leadership coordination smooth and consistent.
- Represent executives in written and verbal communication in a polished, prompt, and professional way.
- Support special projects, event coordination, research tasks, and IT-related help when needed.
- Act as the on-site backup for the Office Manager and assist employees, candidates, vendors, and visitors in the office.
Requirements
- At least 3 years of background in administrative support.
- Experience assisting several senior executives across both office-based and remote settings.
- Strong organizational and communication abilities, with a courteous and professional manner.
- High accuracy and close attention to detail.
- Ability to work independently, juggle priorities effectively, and adjust to shifting needs.
- Comfort using MS Outlook for scheduling, along with Word, Excel, and PowerPoint; exposure to Atlassian tools and other agile project management platforms such as Jira, Confluence, and Smartsheet is an advantage.
- Experience with GenAI tools and related technologies is an added plus.
- Must be willing to work from the office Tuesday through Thursday, with additional in-office days as needed.
- Occasional travel may be required.
- A bachelor’s degree is preferred but not mandatory.
- Must be legally authorized to work in the United States.
Additional Information
The role includes eligibility for the company’s “Friends of Voleon” referral program. A successful referral may earn $7,500 if the referred candidate is hired and remains employed by The Voleon Group, subject to the program’s eligibility rules, terms, and conditions.
