Role overview
Glanua is hiring a Document Controller for its Regional Office in Ballincollig, County Cork. This is a permanent, full-time onsite position focused on keeping company and project information accurate, traceable, and available to the right people at the right time.
What the role involves
In this position, you will manage both electronic and paper records, maintain document control standards, and support project delivery by making sure information flows efficiently across teams. You will also contribute to reporting, audits, and process improvements.
- Manage company and project documentation from receipt through to storage and retrieval.
- Improve and follow document control processes and standards.
- Check that all files meet the required formal and quality standards.
- Organise, store, and retrieve digital and physical records for clients and industry stakeholders.
- Prepare progress updates for senior management.
- Carry out document reviews and regular audits.
- Use computer systems to organise, distribute, and track documents.
- Support early-stage project planning by helping structure document workflows.
- Release documents at the required project milestones so work stays on schedule.
Systems and collaboration
The role involves close work with management and project teams to keep document procedures compliant across the business, particularly through BIM 360 Docs and SharePoint. You will also support change implementation across the document management system and help teams adopt new ways of working.
- Roll out updates and changes to the document management system across Glanua Ireland.
- Distribute incoming project documents to the appropriate team members.
- Work with management teams to maintain compliance on BIM 360 Docs and SharePoint.
- Maintain a complete audit trail for all incoming documentation.
- Ensure all outgoing information remains controlled and traceable.
- Support QA processes so company procedures are consistently followed.
- Flag non-compliance issues to project teams.
- Train and upskill project teams on the BIM 360 document management system.
- Coordinate with the Digital Lead, BIM Coordinators, Design Managers, Project Managers, and site teams on document submissions.
- Provide concise status reports on project progress.
- Keep information moving accurately and on time to support the construction schedule and client requirements.
- Handle sensitive records with strict confidentiality.
Experience and background
A background in information management, office administration, or a related field is welcome, although it is not mandatory because training will be provided to the right candidate. The company is looking for someone with at least five years of experience in documentation or information management, ideally gained in the construction sector. Experience with web-based information systems and cloud-based document management tools is highly desirable.
Offer and working arrangement
This is a permanent role based in Ballincollig, Co. Cork. The working pattern is Monday to Friday, with an early finish on Fridays.
