Role Overview

This role is for an experienced Event Operations Coordinator who will support the planning, development, and on-site activation of key New Zealand events. The position is highly hands-on and requires strong energy, commitment, and the ability to help deliver successful outcomes in live event settings.

The ideal candidate will have practical experience with live outdoor and mass participation events, along with an understanding of site infrastructure and event planning workflows. You will support the Event Management team in coordinating a diverse workforce and ensuring that project milestones are achieved on time and within budget.

The role also requires confidence in producing documents, schedules, and briefings to a high professional standard, preferably using Google Workspace, with close attention to detail throughout.

Contract and Work Arrangement

This is a fixed-term, full-time position based on 40 hours per week. The role can be performed from Tauranga, New Zealand, or remotely within New Zealand.

Compensation

The salary range is NZD 50,000 to NZD 65,000 per year, with the final amount depending on experience and qualifications.

Responsibilities

  • Work with the Event Operations Manager and Directors to support the delivery and oversight of assigned projects.
  • Plan both indoor and outdoor events, ensuring key milestones are completed on schedule and within budget, and escalate any risks or shortfalls to the Event Manager or Director.
  • Coordinate with all event functions, including event, site, technical production, creative, course management, ticketing, and marketing teams, to improve operational quality, strengthen safety, and reduce client and company risk.
  • Manage accreditation processes and access control arrangements.
  • Prepare staff briefings, supporting documents, and presentations.
  • Assist with supplier procurement and contract coordination.
  • Lead operational briefings and communicate key information clearly.
  • Collaborate with project and operations colleagues to monitor progress and support successful project delivery.
  • Work with project teams and stakeholders to build schedules and delivery plans.
  • Handle logistics planning, including schedules, documents, and briefing materials.
  • Ensure site and operational procedures are consistently followed and set the standard through your own actions.
  • Promote strong practices across event planning and delivery.
  • Stay aware of emerging tools, systems, and methods that could improve the company’s services and efficiency.
  • Step in to run meetings and lead the team when Operations Managers are unavailable.
  • Take on additional duties that are appropriate to the position.
