Overview
Eram Talent is recruiting a Receptionist for a client site in Al Khobar. The position supports facility management by keeping the front desk running smoothly and ensuring visitors, calls, appointments, and day-to-day office coordination are handled professionally. The receptionist will serve as the first point of contact for guests, clients, and customers while also providing administrative support across the facility.
Key Responsibilities
- Welcome visitors politely and professionally and create a positive first impression.
- Handle incoming calls by answering, screening, and transferring them to the right person or team.
- Keep the reception area tidy, orderly, and visually presentable at all times.
- Arrange appointments, meetings, and conference room reservations.
- Support general office administration, including filing, data entry, and preparing documents.
- Receive and dispatch mail and packages.
- Track office supply levels and place reorders when needed.
- Share information with callers and visitors about the organization and its services.
- Follow access control procedures and manage visitor badges for security purposes.
- Help with special assignments and other tasks given by office management.
- Work with administrative colleagues to keep office operations efficient.
- Organize employee travel, including flights, hotels, and ground transportation.
- Support event planning and coordination for meetings, conferences, and similar activities.
- Maintain internal records and databases with accuracy and confidentiality.
- Provide basic IT assistance for minor issues or coordinate with IT support when needed.
- Oversee the upkeep of office equipment such as printers, copiers, and fax machines.
- Assist with onboarding by preparing workspaces, sharing orientation details, and guiding new hires on office procedures.
- Coordinate with vendors and service providers to ensure services are delivered on time.
- Monitor and restock stationery, kitchen items, and other consumables.
- Liaise with building maintenance teams for repairs and facility-related issues.
- Prepare reports accurately and on time in line with department policies, standards, and requirements.
Requirements
- A bachelor's degree in business administration from a recognized university is required.
- Strong spoken and written English communication skills are essential.
- 0 to 3 years of relevant experience in a similar reception or front desk role.
- Prior experience managing a reception or front desk area is expected.
