Role Summary
This position is responsible for ensuring that all chemicals, consumables, spare parts, tools, PPE, and maintenance supplies are received, stored, preserved, tracked, transported, and documented in a structured way so that plant operations and maintenance run without interruption across ETP, STP, RO, EDI, ZLD, UPW, and utility facilities.
The role also covers warehouse management, procurement support, logistics coordination, gate pass handling, stock accuracy, traceability, and statutory records, with a strong focus on maintaining the right stock levels and reducing material losses.
Store and Warehouse Management
Oversee the warehouse and remain accountable for material custody. Ensure correct storage and preservation of chemicals, mechanical spares, electrical and instrumentation spares, consumables, and safety-related items.
- Handle chemicals such as sulfuric acid, hydrochloric acid, caustic soda, sodium hypochlorite, ferric chloride, alum, PAC, polymers, antiscalants, and CIP chemicals.
- Manage mechanical items including pumps, mechanical seals, bearings, valves, couplings, gaskets, and motors.
- Store E&I items such as sensors, flowmeters, PLC modules, VFD parts, relays, contactors, and cables.
- Track consumables like cartridges, filters, lubricants, fasteners, and gaskets.
- Control safety materials including PPE, fire extinguishers, spill kits, and safety harnesses.
- Maintain segregation, labeling, tagging, FIFO/FEFO practices, shelf-life monitoring, safe stacking, housekeeping, and preservation of critical assets.
Material Receipt and Inspection
Check incoming material against purchase and shipping documents, inspect the condition and quantity of supplies, and raise receipt records while resolving any mismatches with procurement teams and vendors.
- Verify purchase orders, delivery challans, invoices, packing lists, test certificates, and warranty papers.
- Inspect quantity, physical condition, specification compliance, and transit damage.
- Prepare GRNs and material receiving reports.
Inventory Control and Stock Management
Maintain inventory thresholds, watch movement trends, and keep records current so that essential materials never run out.
- Set and monitor minimum, reorder, safety, and maximum stock levels.
- Track fast-moving, slow-moving, dead, and obsolete materials.
- Maintain inventory, chemical stock, spare parts, and consumable registers.
- Prevent stock-outs for critical items.
Material Issue and Consumption Tracking
Issue items only against approved requests and maintenance needs, and maintain accurate tracking of what is consumed, returned, and reused.
- Release materials against MRS, approved work orders, and maintenance schedules.
- Maintain issue, returnable material, and tool issue registers.
- Track daily, monthly, site-wise, and department-wise consumption.
- Prepare usage and consumption reports.
Procurement Coordination
Support sourcing activities by preparing purchase requests, technical specifications, and follow-ups for pending orders and deliveries.
- Coordinate buying for chemicals, spares, consumables, tools, PPE, and urgent materials.
- Draft purchase requisitions, technical descriptions, and material specifications.
- Track purchase order progress, delivery commitments, and vendor follow-up actions.
- Assist with vendor evaluation, material inspection, and technical approvals.
Transportation and Logistics Management
Arrange movement of materials between warehouse, site, vendors, repair agencies, and central stores, while ensuring timely dispatch and accurate records.
- Organize transport, permits, packing, and dispatch activities.
- Maintain dispatch logs, transport records, vehicle details, and courier records.
- Monitor delivery progress, transit damage, and returnable packing materials.
- Ensure urgent materials reach the site without delay.
Gate Entry and Gate Pass Management
Prepare and track inward, outward, returnable, and scrap disposal gate passes in line with client security and site procedures.
- Manage gate passes for vehicle and material movement.
- Coordinate approvals for material entry and exit with client security.
- Maintain challans, vehicle logs, driver details, and movement records.
- Follow client gate pass compliance requirements.
Reconciliation and Stock Audit
Perform regular reconciliation between physical, ERP, and book stock, and investigate differences such as shortages, excess, damage, or pilferage.
- Carry out daily, weekly, and monthly reconciliations.
- Compare physical stock with ERP and book records.
- Prepare variance reports and material balance statements.
- Support internal, client, and ISO audits.
Tool, Tackle, and Asset Management
Keep track of tools and equipment, including issue and return status, calibration schedules, and equipment condition.
- Maintain records for power tools, maintenance tools, testing instruments, lifting tools, and measuring equipment.
- Monitor tool issuance and return.
- Track calibration due dates and maintain calibration history.
Scrap Management
Record and coordinate the handling of scrap, damaged equipment, used consumables, waste containers, and empty chemical drums while keeping traceability intact.
- Track scrap material, damaged assets, used cartridges, used membranes, hazardous waste containers, and empty drums.
- Manage segregation, disposal approvals, and disposal records.
Documentation and Record Keeping
Maintain all store-related registers in a complete and audit-ready condition.
- Keep GRN, material issue, material return, stock, asset, chemical, spare, transportation, gate pass, vendor, tool, and calibration registers updated.
- Ensure records are ready for audit review at all times.
ERP / SAP and MIS Reporting
Update transactional data in the system and prepare regular management reports on stock movement, inventory health, and pending actions.
- Record material receipts, issues, stock transfers, and consumption in ERP or SAP.
- Prepare daily stock reports, monthly inventory reports, critical spare reports, consumption analysis, and pending PO reports.
- Work with SAP, ERP tools, inventory software, and MS Excel.
Housekeeping and Safety Compliance
Maintain a safe, organized warehouse environment with proper chemical handling and EHS practices.
- Ensure housekeeping, segregation, spill control, safe stacking, and MSDS availability.
- Maintain fire extinguishers, emergency exits, safety signage, and spill kits.
- Follow EHS and chemical handling procedures.
Shutdown and Emergency Support
Provide rapid material support during shutdowns or urgent maintenance situations so downtime stays minimal.
- Arrange emergency supplies of chemicals, pumps, bearings, seals, instruments, cables, and PPE.
- Coordinate with vendors, transporters, and repair agencies.
- Support efforts to reduce operational downtime.
Requirements
Candidates should have a Diploma, ITI, or graduate qualification. A Diploma in Materials Management, a Diploma in Supply Chain Management, or a Store and Inventory Management certification is preferred.
The expected experience is 3 to 8 years in a store executive or similar inventory/warehouse role. Prior exposure to water and wastewater treatment, utility operations, semiconductors, pharmaceuticals, chemical plants, or EPC/O&M projects will be an advantage.
The role requires practical knowledge of FIFO and FEFO, stock reconciliation, material coding where applicable, preservation methods, and industrial materials used in ETP/STP operations, RO consumables, membranes, pumps and spares, electrical items, and instrumentation items.
This position is for site-based work across India.
