Role Overview

Norm Ai is looking for an Executive Assistant to provide high-level support to up to four Partners at Norm Law. This position calls for strong organization, sound judgment, and a proactive approach. The role is central to keeping the Partners operating efficiently and has a daily impact across the team.

Key Responsibilities

The Executive Assistant will manage demanding calendars, coordinate communication, support meetings and events, handle travel, and assist with office administration. The role also includes helping executives stay focused by improving workflows and taking care of ad hoc administrative needs.

Calendar Management

  • Coordinate and streamline busy calendars for one or more executives.
  • Spot scheduling clashes and adjust priorities in advance.

Communication Support

  • Act as the point of contact between executives and internal or external stakeholders, ensuring follow-through on requests.
  • Sort, prioritize, and manage incoming messages and correspondence.
  • Prepare and refine written communications on behalf of executives when needed.
  • Build a solid understanding of the company’s priorities and how they influence everyday decisions.

Meetings and Events

  • Plan and coordinate meetings, including agendas, supporting materials, and minutes where required.
  • Assist with organizing conferences, offsites, and other team events.

Travel Arrangements
