Role Overview
This is a temporary, full-time position that is scheduled to end on September 30, 2026. The role supports customer service and administrative operations through accurate data handling, office support, and coordination with internal teams.
Key Duties
- Set up, update, and manage information in databases.
- Follow software manuals, data-entry procedures, and supervisor guidance with precision.
- Enter information from forms and documents, then check printouts and reports for accuracy.
- Keep customer and delivery records updated so operations can function smoothly.
- Track counts, totals, and reconciliations as required.
- Work regularly with the Finance Department to provide and process data related to software, procedures, services, and inquiries.
- Review data for missing or incorrect details and coordinate corrections or additional information with the supervisor.
- Maintain statistical information in the relevant databases or software and produce reports for the Food Services program.
- Keep all processed files and records organized and accurate.
- Deliver high-quality customer service.
- Protect the confidentiality of staff, client, and program information.
- Use office equipment such as copiers, scanners, fax machines, phone systems, voicemail, and computers.
- Travel for job-related purposes using dependable transportation.
- Maintain consistent attendance and punctuality.
- Be available to work evenings and weekends when needed.
- Carry out additional tasks as assigned.
Qualifications
The role calls for someone who can perform the essential functions successfully and may be accommodated where appropriate for disabilities.
Education and Experience
- High school diploma or GED is required.
- College-level study in Business Administration, Finance, Accounting, or a similar field is preferred.
- At least 2 years of related clerical, data entry, or similar experience using Microsoft Office Suite is required.
Additional Requirements
- Ability to work remotely with a secured internet connection.
- Understanding of office procedures and administrative systems, including file management, transcription, form design, and document handling.
- Experience creating spreadsheets and using data for progress reporting.
- Strong proficiency in Microsoft Office Suite and related business software.
- Ability to type at least 35 words per minute accurately.
- Ability to use 10-key data entry.
- Good organizational, verbal, and written communication skills.
- Self-motivated and able to complete assignments with limited supervision.
- Willingness to work non-traditional days and hours as needed.
- Valid California driver’s license, reliable transportation, proper auto insurance as required by state law, and insurability through the organization’s carrier for staff who drive organization vehicles.
Physical Requirements
The job may require occasional standing, walking, sitting, hand use, reaching, climbing, balancing, stooping, kneeling, crouching, crawling, and tasting or smelling. The employee must be able to lift or move up to 25 pounds regularly and up to 50 pounds occasionally. Required vision abilities include near vision, distance vision, color vision, and the ability to adjust focus.
Work Environment
The role may involve occasional exposure to outdoor weather conditions. The typical noise level is moderate.
Schedule
Workdays are Monday through Friday from 8:30 a.m. to 5:00 p.m., totaling 7.5 hours per day.
