Role Overview
Universal Music Group is hiring an organized and proactive Administrative Assistant for its Commerce team in New York. This is an entry-level position supporting commerce work across streaming and physical retail partners. The role suits someone who wants to learn how music commerce operates while helping a busy team handle priority releases, partner coordination, and day-to-day administration. Success in this role requires strong organization, clear communication, professionalism, discretion, and good judgment when dealing with confidential information.
What You Will Do
You will support the Commerce team with administrative tasks, project coordination, partner communication, reporting, and presentation preparation.
Administrative and Operational Support
- Handle daily administrative needs for the Commerce team, including organization, logistics, and general team support.
- Keep complex calendars up to date, arrange internal meetings, coordinate cross-team check-ins, and schedule partner calls across different time zones.
- Arrange domestic and international travel and prepare detailed itineraries.
- Manage travel, entertainment, and other department expense processing and tracking.
Project and Partner Coordination
- Track project timelines, release plans, promotional rollouts, and important deadlines.
- Keep status reports, partner grids, and internal trackers organized and current.
- Prepare for meetings by collecting materials, sharing agendas, recording notes, and following up on action items.
- Help organize partner events, showcases, presentations, and internal team gatherings.
Reporting and Presentation Support
- Create and maintain sales reports, weekly trackers, and performance summaries for streaming and physical partners.
- Monitor release updates, chart performance, consumption data, and metadata accuracy.
- Prepare visual marketing decks, partner-facing presentations, and internal briefing documents.
Cross-Functional Collaboration
- Support communication between internal teams such as Marketing, Commercial Strategy, Production, Finance, and Label Partners, as well as external streaming and retail partners.
- Sort incoming meeting requests, prioritize them by urgency, and help keep team workflows moving efficiently.
What We Are Looking For
The ideal candidate has prior coordination or administrative experience, preferably in entertainment, media, or another fast-moving corporate setting. Strong written and verbal communication, attention to detail, and the ability to manage several priorities at once are important. Familiarity with Microsoft Office, Google Workspace, and presentation design tools is valuable. A genuine interest in music, commerce, digital platforms, and consumer behavior in both streaming and physical retail is also important.
Compensation
The stated base salary range for this position is $40,520 to $45,000 per year. Final pay will depend on factors such as experience, skills, education, certifications, licenses, and the location from which the candidate works.
