Role Overview
This position focuses on keeping hotel purchasing activities accurate, efficient, and well documented. The successful candidate will manage procurement-related paperwork carefully, maintain reliable records, and support purchasing decisions through cost review and market research. The role contributes directly to guest satisfaction by helping ensure the hotel has the right supplies and services at the right time.
Key Responsibilities
- Assist the procurement function by sourcing materials and supplies, comparing prices, and following established purchasing rules and procedures.
- Receive and inspect incoming goods, then match deliveries with purchase orders, invoices, and product specifications to confirm everything is correct.
- Handle departmental requisitions by issuing requested items, keeping stock at appropriate levels, and alerting the relevant supervisor when supplies run low or are unavailable.
- Receive, review, and process invoices, check them for accuracy, scan and file documents, and resolve any mismatches so payments are not delayed.
- Support inventory control by carrying out regular stock counts, entering received items into tracking systems, and reporting shortages or inconsistencies.
Requirements
- A diploma or degree in Business, Hospitality, or a closely related discipline is preferred.
- Practical understanding of hotel operations and supply chain workflows.
- Good negotiation ability and clear communication skills.
- Strong attention to detail, planning, and organization.
- Comfort using procurement tools, software, and related systems.
- Commitment to ethical, transparent, and compliant purchasing practices.
