Role Overview
This position is responsible for directing and coordinating facilities management projects so that maintenance, upgrade, addition-and-alteration, and other improvement works are delivered safely, punctually, within the approved budget, and in line with client expectations, contract terms, and all applicable statutory requirements.
Project Management
- Take ownership of FM projects from launch through closeout.
- Create project timelines, execution plans, and resource deployment strategies.
- Track progress, spot potential issues early, and apply corrective actions where needed.
- Keep delivery aligned with approved schedules and budgets.
Contract and Vendor Coordination
- Oversee contractors, suppliers, and external service partners to maintain service quality.
- Check that contractor performance meets agreed contractual standards.
- Confirm work completion and endorse progress claims where relevant.
Facilities Operations Support
- Work closely with operations teams to reduce disruption to occupants during project works.
- Ensure replacement, maintenance, and upgrade activities follow the required specifications.
- Assist in carrying out preventive and corrective maintenance programs.
Stakeholder Engagement
- Act as the main point of contact for clients, consultants, contractors, and internal teams.
- Participate in project discussions and provide timely status updates.
- Handle client feedback and support overall customer satisfaction.
Budget and Cost Control
- Prepare budgets, cost projections, and spending forecasts for assigned projects.
- Monitor expenditure and apply cost-control measures to keep spending in check.
- Assess quotations and support procurement recommendations.
Compliance, Safety, and Quality
- Ensure all work follows Workplace Safety and Health requirements and company policies.
- Carry out site checks and audits to uphold quality standards.
- Make sure activities comply with the relevant regulatory and statutory obligations.
Reporting and Documentation
- Prepare project updates, reports, and management presentations.
- Maintain all project records, drawings, documentation, and handover materials.
- Complete project closure activities and post-project reviews properly.
Requirements
- A degree or diploma in Engineering, Facilities Management, Building Services, Construction Management, or a closely related field.
- At least 5 to 8 years of experience in facilities management, building maintenance, or project management.
- Background in FM projects, addition-and-alteration works, asset replacement programs, or maintenance contracts.
- Experience in government, commercial, industrial, healthcare, or institutional facilities is advantageous.
- Strong capability in planning and executing projects.
- Sound knowledge of FM operations, mechanical and electrical systems, and building services.
- Well-developed communication and stakeholder management skills.
- Competence with Microsoft Office and project management tools.
- Ability to handle several projects and priorities at the same time.
- Strong analytical thinking, problem-solving, and decision-making skills.
