Role Overview
The Client Services & Operations Coordinator position is a part-time, hybrid role based in Auckland, with flexibility to work from home. The role is focused on day-to-day client support and operational coordination, including handling enquiries, creating quotes, managing bookings, and keeping communication clear before, during, and after events.
Alongside client service, the role includes operational responsibilities such as arranging deliveries and collections, keeping inventory records up to date for tableware and décor, and coordinating with suppliers and logistics partners. You will also help resolve client concerns quickly, record feedback, and work with the wider team to strengthen processes and improve the overall client journey.
Key Responsibilities
- Handle client enquiries, bookings, and ongoing account communication with a strong service focus and careful attention to detail.
- Prepare quotations and support client coordination across the full event lifecycle.
- Maintain clear written and verbal communication with clients, internal colleagues, and external partners.
- Support invoicing, payment follow-up, and basic event budget tracking.
- Organise multiple deadlines, bookings, and operational tasks efficiently.
- Use office and collaboration tools such as spreadsheets, scheduling systems, email, messaging platforms, the booking software, and Xero.
- Coordinate deliveries, collections, inventory tracking, and supplier/logistics communication.
- Assist with issue resolution, document client feedback, and contribute ideas to improve processes and service quality.
- Work independently and with the team in a hybrid setup, and be willing to drive occasionally or assist on-site for events when needed.
- Be available for heavier workloads during the busy summer period from October to April, when hours may increase.
Requirements
- Strong client service and customer care skills.
- Excellent written and verbal communication abilities.
- High attention to detail and a proactive, solutions-focused mindset.
- Basic finance capability for invoicing, payment tracking, and budget support.
- Strong organisation and time management skills.
- Comfort using spreadsheets, booking systems, and common office collaboration tools.
- Experience in events, hospitality, or another service-based environment is an advantage.
- Ability to work both autonomously and collaboratively in a hybrid arrangement.
- Access to a suitable work-from-home setup.
- Willingness to travel occasionally for event-related tasks and to support event operations on site when required.
- Flexibility to work increased hours during the peak season from October to April.
