Role Summary
The Admin Associate will support administrative and operational work for Mental Health programmes and services, helping ensure smooth coordination among internal teams, clients, and stakeholders. The position also involves tracking staff movement related to hiring, training, and transfers across the organisation. In addition, the role supports senior administration staff in preparing reports for management, funders, and cluster teams, as required, and helps oversee performance targets, workflows, and the efficient running of mental health programmes.
The role also includes facilities-related support such as handling office maintenance matters, managing contracts, and processing financial claims for the team.
Administrative and Operational Support
- Oversee day-to-day administrative work, including scheduling, correspondence, and record handling.
- Coordinate office and programme logistics, facilities matters, contract administration, and financial claims in line with internal policies and organisational objectives.
- Keep client, stakeholder, and staff records accurate and up to date while following confidentiality and data protection requirements.
Reporting and Data Management
- Assist senior colleagues with monthly and quarterly reporting for funders, senior leadership, and other key stakeholders by compiling programme results and performance information.
- Help prepare data summaries and analytical inputs that support decision-making at a strategic level.
Compliance
- Ensure that administrative processes remain aligned with organisational policies and relevant industry expectations.
- Take part in periodic documentation reviews or audits of administrative workflows.
Data Entry and Analysis
- Enter and organise programme information in the relevant systems for monitoring and reporting.
- Support data collection and initial processing, and assist senior programme staff in analysing information and identifying useful trends or insights.
- Prepare charts and visual aids for presentations and reports.
Monitoring and Evaluation
- Contribute to the development of the Mental Health service planning document and manual, including requirements for infrastructure, manpower, training, recruitment, outreach, screening, mental health information, service linkage, and follow-up processes.
- Support programme performance reviews to ensure alignment with divisional and organisational goals.
Qualifications and Experience
A diploma in Business Administration, Social Work, or a similar discipline is required. Candidates should also have at least 2 years of relevant administrative experience, preferably gained in a social service or healthcare environment.
Additional Requirements and Traits
- Strong organisation and time management abilities.
- A high level of accuracy and care in documentation and reporting.
- Solid written and spoken communication skills.
- Comfort using Microsoft Office applications such as Word, Excel, and PowerPoint, as well as database tools.
- Experience with data entry, report preparation, and basic analysis will be an added advantage.
- A people-focused mindset with strong interpersonal and relationship-building skills.
- Careful attention to detail and a strong commitment to confidentiality.
