Role overview
This position is for an experienced Executive Assistant who will support about four senior leaders with high-level administrative coordination. The role calls for strong judgment, a proactive approach, discretion, and the ability to move quickly in a busy, changing environment.
The executive assistant will act as a dependable partner by organizing priorities, keeping communication flowing, and helping ensure follow-through across multiple workstreams.
Executive support and calendar coordination
- Handle complex, fast-changing calendars by organizing internal and external meetings, ranking competing requests, and fixing scheduling overlaps.
- Arrange all travel and meeting logistics, including domestic and international trips, lodging, transport, meals, and event-related details.
- Draft daily briefings, agendas, and supporting materials so leaders are fully prepared.
- Remain available for urgent adjustments to schedules, including occasional evenings and weekends when business needs require it.
Communication and stakeholder coordination
- Serve as a main contact for communication between executives and internal or external stakeholders.
- Build and sustain effective working relationships with senior leaders, team members, and important partners.
Operational and strategic assistance
- Anticipate upcoming needs and address problems before they affect executive productivity.
- Monitor key projects, deadlines, and action items, then follow up to keep progress on track.
- Support cross-functional alignment and communication around strategic priorities.
Meetings, offsites, and events
- Coordinate and deliver executive meetings, offsites, and events from planning through execution.
- Record notes, capture decisions, and manage follow-up actions after meetings.
- Make sure all attendees, materials, and logistics are properly aligned.
Confidentiality and professionalism
- Manage sensitive matters with strict confidentiality and a high level of professionalism.
- Use sound judgment when balancing urgent priorities and private information.
Administrative operations
- Oversee expense reports, budget tracking, and vendor coordination.
- Keep filing systems and documentation well organized and current.
- Provide general office support such as typing, spreadsheet preparation, and maintenance of filing systems and contact databases.
- Look for ways to streamline processes and improve efficiency.
Experience and qualification requirements
- At least 5 years of experience supporting multiple senior executives, preferably at VP level or above, in a demanding and fast-paced environment.
- High school diploma is required; a college degree is preferred.
- Strong written and verbal communication skills, excellent organization, effective time management, and sharp attention to detail.
- Proven ability to manage several priorities at once in a high-pressure setting.
- Strong discretion, integrity, professionalism, self-awareness, emotional maturity, and diplomacy.
- Advanced proficiency with Microsoft Office tools, including Outlook, Excel, PowerPoint, and Word, as well as collaboration platforms such as Teams and Slack.
- Experience working in a complex, matrixed, or rapidly growing organization.
- Demonstrated initiative, good judgment, and a solution-oriented mindset.
- A flexible, supportive, and enthusiastic attitude is important.
- Familiarity with travel and expense systems, such as Concur, is expected.
- Must be able to work onsite in the Dallas office five days per week.
