Role Snapshot
This opening is for a Program Coordinator (PMO) based in Bangalore, Karnataka, India. It is a 12-month fixed-term position supporting a large global HR digital transformation program. The role focuses on keeping delivery structured, ensuring progress is visible, and helping multiple workstreams stay coordinated and aligned.
This opportunity suits a junior to mid-level professional who can work with direction while keeping governance routines on track, maintaining accurate program information, and supporting teams in meeting priorities and milestones.
Key Responsibilities
Program coordination and delivery support
- Work alongside program and project managers to coordinate day-to-day activities across several workstreams involving global stakeholders.
- Monitor progress against major program milestones and call out gaps or variations from plan.
- Manage and track dependencies between different workstreams.
Governance and reporting
- Collect updates from workstream leads and project managers for weekly governance cycles.
- Place inputs into standard templates for weekly program meetings.
- Prepare draft status reports and dashboard views for the program.
- Keep the overall program plan and milestone tracker updated so it reflects the latest delivery position.
- Maintain consistency and precision in reporting data.
RAID management
- Maintain the program-level RAID log in SharePoint, including regular checks and audits.
- Follow up with owners to make sure updates stay current and actions keep moving.
- Escalate overdue or high-risk matters to the Program Manager or Director.
- Support structured escalation when required.
Meeting coordination
- Arrange recurring program meetings as well as ad-hoc workstream sessions.
- Prepare agendas in advance, set up working files, and record clear notes, decisions, and actions.
- Track actions and follow up until closure.
- Help maintain effective communication across teams working in different geographies.
Documentation and administration
- Keep program documentation organized, including status reports, governance materials, meeting records, and decision logs.
- Ensure documents are filed in the correct location with proper version control.
- Support general PMO administration such as templates, trackers, and access coordination.
Team support and onboarding
- Assist with onboarding new team members, including access setup, sharing materials, and orientation support.
- Help coordinate tools, system access, and documentation needs.
- Provide operational support that helps the program run efficiently.
Qualifications and experience
A background in business administration, project management, information technology, human resources, or a related area is preferred. Project management certification or equivalent experience is also acceptable. A PMO, project management, or governance certification is considered an advantage, and J&J FPX certification is preferred.
The role calls for 2 to 5 years of experience in project coordination, PMO, or program support. Experience in structured project settings with formal tracking and reporting is needed, and exposure to multi-stakeholder or cross-functional programs is beneficial.
Skills and tools
The position requires strong coordination and interpersonal skills, sound written and verbal communication, and the ability to manage trackers, reports, and documentation accurately while meeting deadlines. Confidence with Microsoft Excel, PowerPoint, and collaboration tools such as SharePoint is important, along with strong follow-through and attention to detail.
