Role overview
This is a senior-level Executive Assistant opportunity supporting an executive who operates across several companies and sectors. The work is fast-moving and highly accountable, with a strong need for structure, discretion, and the ability to keep many moving parts organized at once. You will serve as the main coordination point across consulting, finance, advisory, legal operations, and cybersecurity activities, helping ensure priorities stay visible and execution stays on track.
The position is remote and aligned to U.S. business hours. It is suited to someone who works proactively, thinks ahead, and can bring order to complex workflows without close day-to-day oversight.
Key responsibilities
- Coordinate the executive’s activities across multiple businesses, keeping priorities aligned and execution consistent.
- Handle complicated scheduling across several organizations while balancing changing demands and competing commitments.
- Review inbox activity, surface urgent items, and prepare replies when needed.
- Follow projects, milestones, deliverables, and key obligations across different business lines.
- Set up meetings, create agendas, and record action points and follow-up items.
- Maintain clear visibility over active responsibilities and track progress regularly.
- Create simple organizational systems that improve clarity, ownership, and workflow management.
- Spot risks, delays, and process blockers early and act before they grow into larger issues.
- Coordinate communication between internal teams and outside stakeholders.
- Research issues independently, troubleshoot problems, and resolve them using available resources and documentation.
- Contribute to better processes, stronger structure, and higher executive efficiency over time.
Requirements
- 3 to 5 years of experience as an Executive Assistant or in a comparable support role for senior leaders, founders, or partners.
- Excellent organization and follow-through, with strong attention to detail.
- Strong English communication skills, both written and spoken.
- Comfort working in fast-paced, uncertain environments with multiple priorities.
- Sharp judgment, problem-solving ability, and practical decision-making skills.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Capability to work independently in a remote setting with limited supervision.
- Proficiency with Microsoft Office and Google Workspace.
- Helpful experience supporting executives who oversee multiple businesses or functions.
- Experience in consulting, finance, legal, investment, or advisory settings is highly valued.
- Background in building or improving task management systems and workflows is a plus.
- Exposure to startup or high-growth environments is an advantage.
