About the Role

This Darwin-based, 12-month fixed-term opportunity is suited to a highly organised and proactive Executive Assistant who has experience supporting senior leaders in a fast-moving environment. The position requires someone who can manage multiple priorities, work with discretion, and provide a high standard of support to the Managing Director & CEO.

What You'll Be Doing

  • Deliver senior-level administrative and operational support to the Managing Director & CEO, keeping daily activities running smoothly.
  • Take ownership of the executive calendar, priorities, and correspondence, while coordinating meetings, stakeholders, and key commitments.
  • Draft polished agendas, minutes, reports, and business correspondence with accuracy and timely follow-through.
  • Serve as a central coordination point between the MD & CEO and internal and external stakeholders, including board members, government contacts, and industry partners.
  • Arrange corporate events, sponsorships, and functions, managing planning, logistics, and related financial administration.
  • Organise domestic and international travel, including itineraries, accommodation, and expense monitoring.
  • Support legal and compliance administration by handling legal documents, licence and certification records, and contractual communications.
  • Keep records, filing systems, and document control processes accurate, up to date, and easy to access.
  • Assist with finance-related administration such as invoice processing, expense reconciliation, and reporting support.
  • Handle sensitive personal and business matters with a high level of professionalism and confidentiality.
  • Coordinate the MD & CEO’s personal appointments and commitments so they align smoothly with business needs.
  • Provide flexible ad hoc support across executive and business priorities as required.

  • Excellent communication skills and confidence dealing with senior stakeholders, government bodies, and partners.
  • A professional approach, with sound judgement, discretion, and the ability to manage confidential information carefully.
  • Strong capability across Microsoft 365, including Word, Excel, PowerPoint, and SharePoint, as well as business systems.
  • High attention to detail and a consistent ability to produce accurate, quality work.
  • The confidence to ask questions, clarify ambiguity, and make practical decisions when information is incomplete.
  • The ability to work independently while also contributing positively within a team environment.
  • Experience arranging events, travel, and executive-level logistics.
