Position Summary
ANIZ Inc. is hiring an entry-level Data Entry Specialist to help manage and maintain program data, reporting, and documentation for several grant-funded initiatives, including Ryan White Part A, SAMHSA APP, SAMHSA ARMI, Fulton County, and Cobb County programs. This role is well suited to someone interested in public health, healthcare administration, or data management and requires careful, timely, and accurate handling of records that support compliance and quality improvement.
The position reports to the Director of Research and Evaluation. The ideal candidate will be organized, comfortable working with technology, and highly attentive to accuracy when handling sensitive client information. Previous experience in administrative work or data entry is required.
Key Responsibilities
- Record client demographics, services, and encounter details in the assigned systems, including E2Fulton for Ryan White Part A and other platforms used for SAMHSA and county-funded programs, within required deadlines.
- Check entries for completeness, consistency, and accuracy; fix small errors and escalate larger discrepancies when necessary.
- Scan, upload, and file intake documents, consent forms, and service records in both digital and physical filing systems.
- Track incomplete records, such as missing signatures or unfinished fields, and coordinate with staff to complete the documentation.
- Keep client records current as services are started, changed, or closed.
- Prepare simple preset reports, such as monthly service totals, when requested by supervisors.
- Assist with data quality checks, including spotting duplicate files or outdated information.
- Help support quarterly and annual reporting by entering data, formatting information, and confirming reported figures.
- Maintain well-organized paper and electronic files for all programs, along with logs for completed and outstanding documents.
- Follow HIPAA requirements and all program-specific confidentiality and data security rules.
- Coordinate with program staff regarding missing details, deadlines, and documentation needs.
- Provide general administrative and data-related support as assigned by leadership.
Qualifications
This is an entry-level role, but prior administrative, records management, or data entry experience is required. A bachelor’s degree in Public Health, Healthcare Administration, Information Systems, or a related discipline is preferred as stated, though an equivalent mix of education and relevant experience may also be considered.
