Job overview
The Executive Secretary will provide senior-level administrative, clerical, and coordination support to top executives, managing directors, or board members. The position calls for a highly professional approach, complete discretion, and the capability to handle demanding calendars and sensitive company records so day-to-day business activities run smoothly.
Core responsibilities
- Manage the executive’s calendar, plan appointments, organize corporate meetings, and coordinate detailed travel arrangements.
- Prepare, review, and keep in order important business documents such as memos, formal letters, board decisions, and legal or financial reports.
- Create meeting agendas, gather supporting materials, attend executive or board sessions, record accurate minutes, and monitor follow-up tasks.
- Serve as the main link between senior leadership and internal or external contacts by screening calls, directing queries, and handling official communication.
- Set up and maintain secure, well-organized physical and digital filing systems for confidential business information.
- Keep the executive office operating efficiently by handling administrative work, checking invoices, and guiding junior clerical staff when needed.
Qualifications and experience
- A bachelor’s degree in Business Administration, Secretarial Studies, or a similar discipline is required.
- Applicants should have 3 to 5+ years of experience assisting C-level leaders or board members in a corporate setting.
- Strong command of Microsoft Office applications, including Word, Excel, and PowerPoint, along with digital calendar and collaboration tools is expected.
- Excellent spoken and written communication skills are necessary.
