Role Overview
Chartis is seeking a motivated, organized, and collaborative Executive Assistant to provide remote support to 5-7 senior partners. The role primarily involves managing calendars, coordinating travel, and handling expense reporting.
Responsibilities
- Proactively manage the calendars of assigned partners, scheduling meetings and resolving conflicts by understanding their clients, activities, and priorities.
- Coordinate all travel arrangements for assigned partners, who frequently travel to multiple US cities weekly.
- Prepare and submit monthly expense reports accurately and on time.
- Provide assistance with time reporting as required.
- Maintain and update client contact information within the CRM system (SalesForce).
- Generate and manage correspondence, including emails and holiday cards, as needed.
- Type and proofread various documents, such as engagement letters and reports, upon request.
- Offer occasional support for office meetings, including arranging catering and booking conference rooms.
- Provide administrative support for business development, internal meetings, and industry events.
- Undertake special projects and other administrative tasks to support firm objectives as assigned.
Qualifications And Desired Skills
- Possess a minimum of 3-5 years of experience in providing executive-level support within a professional services setting (e.g., consulting, legal, financial services).
- A Bachelor's degree is preferred.
- Demonstrate exceptional organizational abilities, with a proven capacity to multitask and prioritize effectively in a fast-paced environment.
- Exhibit excellent verbal and written communication skills.
- Maintain an outstanding client service orientation, being highly responsive and willing to exceed expectations.
- Show a keen attention to detail in all tasks.
- Ability to proactively identify and resolve problems independently with minimal supervision.
- Exercise sound judgment and maintain a high level of professionalism and maturity.
- Be an outstanding team player, contributing to a collaborative and positive work atmosphere.
- Proficiency in Microsoft Outlook and Word is essential.
- Prior experience with SalesForce, HubSpot, MS Teams, and Zoom is advantageous.
- Experience in event coordination is a plus.
- Willingness to travel on an ad hoc basis (approximately 1-2 days per quarter).
Additional Information
The salary range for this position is $68,000 to $90,000 annually, with potential eligibility for a discretionary annual bonus. This range considers various factors including skills, experience, training, licensure, practice area, and business needs.
