Role Summary
Astro Pak is looking for a highly organized, proactive, and detail-driven Executive Assistant to support the Executive Leadership Team, including the President, COO, CFO, and CPO. This position is a key operational partner to senior leaders and is responsible for keeping executive priorities, communication, travel, meetings, and daily administrative work running smoothly.
The right candidate will do well in a fast-moving, growth-focused environment, handle sensitive matters with discretion, use sound judgment, and manage several priorities independently while helping advance strategic business initiatives.
Key Responsibilities
- Deliver day-to-day administrative support to the President, COO, CFO, and CPO.
- Organize complex calendars, meeting schedules, and prioritization across internal and external stakeholders.
- Handle executive communications such as email screening, drafting correspondence, and preparing briefing documents.
- Act as a point of contact between executives and employees, customers, vendors, and partners.
- Protect confidentiality and maintain a professional approach when dealing with sensitive business and personnel topics.
- Arrange domestic and international travel, including flights, hotels, ground transport, and full itineraries.
- Prepare detailed travel plans and logistics packets.
- Plan executive meetings, offsites, leadership sessions, and internal events.
- Support logistics for board meetings, leadership summits, and executive planning sessions.
- Record and circulate meeting agendas, notes, and action items.
- Assist with general office coordination and administrative workflows.
- Manage office supplies, vendor coordination, and service requests as needed.
- Support onboarding logistics for executive hires and key leaders.
- Help coordinate cross-functional initiatives and follow up on executive priorities.
- Create and format PowerPoint presentations for executive meetings, board discussions, and leadership communication.
- Carry out basic Excel tasks such as tracking, reporting, summaries, and simple data analysis.
- Compile briefing materials, reports, and dashboards for leadership review.
- Assist with document preparation, formatting, and version control.
- Track executive priorities, deadlines, and deliverables.
- Support cross-functional coordination connected to strategic initiatives.
- Anticipate executive needs and proactively remove administrative or logistical blockers.
- Take on special projects assigned by the Executive Team.
Requirements
- At least 5 years of experience supporting senior executives in a fast-paced business setting.
- Proven ability to manage multiple executive calendars and competing priorities.
- Strong working knowledge of Microsoft Office, especially PowerPoint, Excel, Outlook, and Word.
- Excellent organization, time management, and prioritization abilities.
- Strong discretion and the ability to manage confidential information appropriately.
- Clear written and verbal communication skills.
- Capacity to work independently and apply sound judgment.
- Preferred: experience supporting executive teams with multiple leaders.
- Preferred: exposure to industrial services, field services, construction, or similar operational environments.
- Preferred: experience preparing board-level materials and executive reports.
- Preferred: familiarity with expense management, travel platforms, and project tracking tools.
- Key strengths include executive presence, proactive problem-solving, attention to detail, comfort with ambiguity, strong stakeholder management, and a hands-on, results-oriented mindset.
