Position Summary

Alice + Olivia is hiring a highly organized and proactive Creative Operations Manager to oversee the daily coordination of the creative team and keep work progressing smoothly from initial request through final handoff. This role is responsible for adding structure, visibility, and accountability to creative work while contributing to a fast-moving, collaborative environment.

The role partners closely with the VP of Creative Operations and works across Marketing, E-Commerce, Social, Merchandising, Retail, Events, and other internal stakeholders to manage schedules, coordinate processes, and ensure projects advance efficiently across the business.

The ideal candidate is a strong communicator and detail-focused project manager who understands creative production, performs well in a fast-paced setting, and can juggle multiple priorities with a practical, solutions-driven approach.

Responsibilities

  • Work with the VP of Creative Operations to oversee project movement across the creative department, keeping communication clear and accountability strong.
  • Maintain and refresh schedules and workflows in Monday.com so stakeholders can see the live status of creative requests.
  • Act as a primary connection point between Creative and cross-functional partners in Marketing, E-Commerce, Social, Retail, Merchandising, and Events.
  • Handle creative requests from intake to completion, making sure briefs are complete, feedback is relayed accurately, and assignments are routed correctly.
  • Run recurring status meetings and deliver concise updates, milestone progress, and team communications to internal and cross-functional groups.
  • Assist with staffing and workload planning by tracking capacity, prioritizing assignments, and spotting risks before they affect delivery.
  • Coordinate with designers, photographers, stylists, retouchers, studio teams, post-production vendors, and the DAM Manager to move work from concept through final delivery, archiving, and distribution.
  • Support pre-production through post-production activities, including shoot planning, calendar coordination, sample tracking, styling preparation, and asset organization.
  • Provide support during shoots and in post-production when needed, ensuring key product priorities are captured, retouching feedback is shared, and deadlines are met.
  • Help deliver assets across brand channels, including e-commerce, email, social, paid media, editorial campaigns, fashion shows, events, and wholesale or retail partner requirements.
  • Look for process improvements that make creative operations more efficient.
  • Encourage a team culture that balances creative quality with operational discipline.

Requirements

  • At least 5 years of experience in creative operations, project management, production, or a similar function.
  • Background in fashion, luxury, beauty, or lifestyle brands is strongly preferred.
  • Prior experience in a studio or production environment is strongly preferred.
  • Excellent organization and a sharp eye for detail.
  • Strong written and verbal communication abilities.
  • Comfort managing several projects at once in a high-paced environment with changing priorities.
  • Hands-on experience with project management tools such as Monday.com, Wrike, or similar platforms.
  • Strong troubleshooting skills and the ability to foresee needs and remove blockers proactively.
