Role overview
An established law firm in Dublin is looking for an experienced Executive Assistant to provide high-level support across several practice areas, with particular exposure to pensions and employment-related work. This is a strong opportunity to join a respected Irish legal practice in a role where your contribution will be appreciated within a collaborative and fast-moving setting.
Location: Dublin, hybrid working
Salary: Up to 55k, depending on experience
Contract type: Permanent
Key responsibilities
- Provide full administrative and secretarial support to Partners and Associates across the Pensions and Commercial teams.
- Keep busy diaries and large volumes of email communication under control, helping to organise schedules and highlight the most important meetings.
- Handle AML processes for new client onboarding, making sure all regulatory steps and internal procedures are followed correctly.
- Manage the billing process from start to finish, including accurate time recording, invoicing, monitoring client balances, and chasing overdue payments.
- Arrange and complete client audit and accrual requests, while also processing corporate expense claims carefully.
- Draft, revise, and properly format complex legal documents, letters, and templates with a strong focus on accuracy.
- Carry out digital dictation work as required.
Candidate profile
- At least 3 years of experience working as a Legal Secretary, Personal Assistant, or Executive Assistant.
- Previous exposure to pensions and commercial law would be an advantage.
- Strong practical knowledge of client billing and payment systems.
- Fast and accurate typing ability of 70+ words per minute, along with excellent attention to detail.
- Confident user of advanced IT tools and systems.
- Highly organised, with the ability to prioritise tasks effectively in a demanding environment.
- Good verbal, written, and interpersonal communication skills.
- A dependable team member who can also work well independently and take initiative.
