Role overview
This position supports the VP of Business Systems, VP of Support, and VP of Data by keeping priorities organized, logistics under control, and follow-through visible in a fully remote setting. The goal is to help senior leaders focus on high-impact decisions while ensuring day-to-day execution moves smoothly.
The work environment is fast paced and highly collaborative. AI tools are expected to be part of everyday work to improve speed, efficiency, and decision-making.
Key accountabilities
- Provide daily executive support across scheduling, coordination, communication, and task follow-up for three senior leaders.
- Run complex calendars by evaluating meeting requests, resolving conflicts, spacing commitments appropriately, and protecting time for the highest-value work.
- Create thorough meeting agendas from brief notes, background material, and linked documents so leaders have the right context before discussions.
- Keep regular communication flowing with the executives and escalate items that require review, decisions, or quick action.
- Monitor updates from direct reports, peers, and cross-functional partners so leaders can track progress, blockers, and upcoming deliverables.
- Arrange business travel end to end, including flights, ground transport, hotels, visa support, security-related requirements, and backup documentation.
- Prepare and submit expense reports, track reimbursements, and manage administrative processes with accuracy and timeliness.
- Coordinate with People Operations, IT, Security, recruiting teams, and other Executive Assistants to support onboarding, interviews, meetings, onsites, events, and shared coverage.
- Use AI-enabled and administrative tools to improve synthesis, tracking, and routine workflows.

Compensation
The salary range for this role in the United States is USD 78,000 to USD 130,000 per year.
