What you will handle

  • Prepare monthly rosters and keep daily schedules updated so service delivery remains dependable.

  • Record all client care changes and updates in the scheduling platform.
  • Work closely with clients, families, clinicians, HSE personnel, and other stakeholders to keep care coordination smooth.
  • Support the placement of newly hired nurses into rosters, including staff joining from overseas.
  • Maintain roster efficiency at a minimum of 96% and accuracy at 99%.
  • Carry out routine checks on records and service activity to help meet internal and external compliance expectations.
  • Assist with recruitment follow-up by contacting candidates and collecting required paperwork.
  • Keep candidate information current in the applicant tracking system.
  • Coordinate onboarding for clinical staff, including induction sessions and compliance documents.
  • Attend office meetings and ensure assigned actions are followed through.
  • Own allocated projects from planning through to completion.
  • Collaborate across teams to support clear communication and coordinated delivery.
  • Follow up on new business enquiries and potential client leads.
  • Share observations on market activity and resource planning to support growth.
  • Help plan clinical staff allocation for new client onboarding and service expansion.
  • Suggest and implement improvements that strengthen scheduling and operational efficiency.
  • Support capacity reviews for the region and contribute to planning discussions.
  • Provide daily guidance to operations colleagues.
  • Act as a go-to person for systems knowledge, troubleshooting, and service delivery support.
  • Help train new team members and provide ongoing mentoring.
  • Contribute to process improvements across training, policy, systems, and HR.
  • Complete an 8 to 12 week on-the-job training programme with senior team members.
  • Observe induction training for field staff to gain a complete view of service delivery.

Requirements

  • A diploma in Business, Health Care Management, or a similar field is preferred.
  • At least 2 years of experience in rostering or schedule coordination within home care or hospital settings.
  • Strong working knowledge of Microsoft Office, especially Word and Excel.
  • Experience using CRM or scheduling systems such as OneTouch or AlayaCare.
  • Excellent written and spoken English.
  • Strong attention to detail, time management, and prioritisation skills.
  • High personal accountability and ownership of responsibilities.
  • Willingness to learn, develop, and take on new challenges.
  • Clear communication and interpersonal abilities.
