Key responsibilities

  • Manage branch inventory and sales proceeds, including reconciliations, reporting, and stock movement control.
  • Maintain alignment between physical stock and system records through daily counts, movement tracking, and variance follow-up.
  • Oversee secure storage and handling of stock and POSM materials, including receipt, issue, inspection, and FIFO-based rotation.
  • Support correct and timely collection, banking, and transfer of funds, while ensuring daily reporting of sales proceeds.
  • Monitor adherence to payment terms, credit limits, and cash top-up requirements, escalating any exceptions or irregularities.
  • Review stock movement, sales, and settlement reports by route or dealer to identify trends and improve distribution decisions.
  • Check bank statements against reports and raise discrepancies immediately when identified.
  • Support field staff by initiating sales orders by phone, collecting customer information, and helping with order processing.
  • Carry out market surveys and prepare reports on market gaps and branch-level findings.
  • Track competitor activity and share updates with Marketing and Sales management.
  • Ensure all sales proceeds are reconciled, secured, and banked on time with properly endorsed deposit slips.
  • Prepare and submit SRTs for customer clearance in SAP accurately and on time.
  • Apply company branch accounting and TME system controls across stock and sales activities.
  • Issue stock to sales representatives correctly, with printed and signed van replenishment records.
  • Make sure the approved collection method is used during sales activities and TME data is synchronized daily.
  • Process stock adjustments and promotions correctly in the TME system.
  • Confirm route settlement is completed properly before new stock is issued.
  • Use back-office credit notes in a timely manner and remain compliant with credit terms.
  • Verify invoices for completeness and accuracy and ensure all related payment documents are attached.
  • Keep stock issue and return documents properly signed, completed, and stored.
  • File all sales proceeds documents, including cheques, deposit slips, and credit notes, for audit readiness.
  • Prepare and share weekly and monthly closing stock updates aligned with the TME system.
  • Submit daily cash transaction reports after route settlements and monthly cash collection reports on time.
  • Perform any additional tasks assigned by management.

Requirements

  • A bachelor’s degree in business administration, procurement, finance, accounting, or another commercial discipline.
  • At least 2–3 years of experience in inventory management or a related area.
  • Practical knowledge of inventory management systems.
  • Strong organizational and communication abilities.
  • Comfort working in a fast-moving environment.
  • Ability to communicate fluently in both written and spoken English and Swahili.
