Role Overview

The Tender Search Coordinator will act as a key connector between the Business Development System & Pursuits department and the rest of the organization. The position supports engineering and scientific teams in meeting business objectives by finding, monitoring, and sharing relevant bid opportunities across the company’s offices.

Key Responsibilities

  • Search for and identify suitable bid opportunities using online procurement platforms such as Merx, Biddingo, and Bids & Tenders across Canada and the U.S.
  • Update the opportunity database regularly and distribute new opportunities to the right internal teams, including any addenda or related notices tied to active bids.
  • Maintain accurate and dependable records in the opportunity database, including portal access details such as usernames, passwords, and payment information.
  • Spot opportunities that have not yet been assigned and follow up with the appropriate internal contacts when required.
  • Build and refresh tender search filters based on markets, services, regions, and client groups.
  • Track competitive procurement activity from current clients and markets and manage access to client-specific tender portals.
  • Prepare government forms, client questionnaires, and qualification statements.
  • Coordinate closely with internal stakeholders on possible bid pursuits.
  • Support the Tender Search Team by helping with scheduling, training, and backup coverage.
  • Recommend and implement improvements that make the proposal search process more efficient and effective.

Candidate Profile

The ideal candidate is highly organized, detail-oriented, and able to work to tight deadlines. Success in this role requires strong coordination skills, initiative, and the ability to manage multiple priorities in a fast-moving environment.

  • A diploma or degree in administration, logistics, or a closely related field, or equivalent industry experience.
  • At least 2 years of direct experience identifying bids and leads; experience with proposal-related work is considered an asset.
  • Familiarity with online tender platforms such as Merx, Biddingo, and Bids & Tenders is preferred.
  • Understanding of the Canadian A/E/C market and/or professional services is an asset.
  • Comfort working with technology and quickly learning about services, departments, and markets.
  • Strong proficiency with Microsoft Office, SharePoint, Excel, Outlook, and Adobe Acrobat.
  • Ability to adjust to changing priorities and remain effective in high-pressure situations with critical deadlines.
  • Excellent communication and interpersonal abilities, with a strong capacity to build relationships and work collaboratively.
  • Self-driven, able to set priorities, manage a personal schedule, and coordinate with colleagues across departments, market sectors, and locations.
