Role Overview
The Talent Acquisition Coordinator will support the hiring engine behind the team, with a focus on interview coordination, candidate communication, ATS quality, and day-to-day recruiting operations. This person will keep pipelines moving, maintain clean and reliable data, and help improve process speed and consistency through thoughtful use of AI and simple automation. When scheduling volume is lighter, the role will also include applicant review and light sourcing support for priority openings.
What You Will Handle
- Manage interview scheduling from start to finish, including urgent changes and coordination across many participants.
- Oversee day-of interview execution with confirmations, reminders, prep materials, and live support.
- Arrange onsite interview loops and virtual panels, and coordinate candidate travel and onsite logistics when needed.
- Act as the main contact for candidates regarding interview timing and hiring-process updates.
- Keep the ATS accurate by updating stages, notes, interview packets, structured scorecards, and feedback routing.
- Support debriefs by making sure feedback is collected promptly and hiring decisions keep moving.
- Prepare recruiting reports, update dashboards, and share weekly funnel and SLA summaries.
- Review and correct data issues such as source tags, aging records, duplicates, and incomplete feedback to protect reporting quality.
- Create practical automation and workflow improvements using templates, macros, rules, AI-assisted triage, and validation checks.
- Maintain recruiting materials such as email templates, scheduling guides, interview instructions, and checklists.
- Use downtime to screen applicants for priority roles, manage inbox and queue triage, and assist with light outbound sourcing.

The ideal candidate approaches talent operations like a structured system, values quick and clear communication, and is highly precise with scheduling details. They stay composed under pressure, protect sensitive information, and care deeply about data hygiene and reporting accuracy. They also use AI and automation to reduce manual work and improve consistency.
Must-Have Experience
- 3+ years working in recruiting coordination and talent acquisition operations.
- Direct ownership of complex interview scheduling across multiple stakeholders and changing priorities.
- Strong written communication skills for fast, clear candidate messaging.
- Experience supporting engineering hiring.
- Regular use of AI tools and automation to improve speed and quality of work.
- A history of highly precise execution with very few scheduling or logistics mistakes.
- Hands-on experience with ATS data hygiene and structured feedback or debrief workflows.
- Comfort using ATS reports and/or spreadsheet-based recruiting trackers.
- Willingness to work on-site in Arlington, Virginia.
Nice-to-Have Experience
- Advanced experience with Ashby, including reporting, templates, scheduling workflows, and data cleanup.
- Exposure to light sourcing such as list building, outreach, and follow-ups for priority roles.
- Interest in expanding into broader recruiting operations and recruiter support work.
- Experience building repeatable quality-assurance routines for recruiting data, including audits, deduplication, and tagging standards.
