Role overview
This is a full-time remote scheduling role focused on coordinating patient appointments and supporting the management of provider scheduling templates. The person in this position must be based in the Raleigh, North Carolina metropolitan area because occasional travel to the clinic is required for initial training and periodic in-person needs.
Key duties
- Handle incoming calls routed through the appointment queue and keep the call flow organized.
- Book a range of visits, including new patient appointments, follow-up appointments, and nurse visits.
- Support the Front Office Supervisor by maintaining provider schedules, running rescheduling reports, and reaching out to patients as needed.
- Serve as a point of contact between NeighborHealth and Ministry/Healthcare partners, including refugee organizations, UNC, and WakeMed.
- Generate additional scheduling reports and complete related follow-up tasks such as recalls, no-shows, and cancellations.
Required skills and capabilities
The role calls for strong computer skills in a Windows-based environment, with working knowledge of Outlook, Word, and Excel, plus typing speed of at least 45 words per minute. Candidates should be comfortable working independently, communicating clearly by phone and in writing, and building respectful, inclusive relationships with coworkers and community members. The position also requires the ability to advocate for people from all ethnicities, genders, ages, and backgrounds.
Experience and education
A high school diploma or equivalent is required. Relevant background in customer service, office administration, or a clinical environment is needed. Experience with clinical scheduling and proficiency in Epic are essential. The selected candidate must be able to read, write, speak, and understand English fluently, and must be able to work from a secure home office with reliable internet access. Vaccinations are required as applicable.
Work arrangement
This is a remote position with standard hours of Monday through Friday, 8:00 AM to 5:00 PM. Even though the job is remote, the employee must live in the Raleigh, NC metro area to allow for initial onsite training and occasional clinic visits.
Preferred qualifications
Applicants who speak Spanish, Arabic, Dari, Farsi, or Swahili are preferred.
