Role Overview
The company is looking for a Receptionist to support day-to-day front desk operations and provide broad administrative assistance across the office.
Key Responsibilities
- Welcome visitors, direct them to the right person or office, and share basic information as needed.
- Handle incoming calls by answering, screening, transferring, and taking messages in a prompt and professional way.
- Keep the reception area neat, organized, and ready for guests.
- Receive, sort, and distribute mail, parcels, and deliveries, and prepare and monitor outgoing courier shipments.
- Order, replenish, and track office supplies and equipment so workplace needs are consistently met.
- Maintain filing systems and office records while following record-retention guidelines.
- Coordinate meetings, appointments, events, and travel arrangements.
- Support administrative needs such as correspondence handling, phone coverage, and visitor reception.
- Help improve office workflows, systems, and procedures to increase efficiency and reduce waste.
- Manage supplier relationships for office supplies, equipment, and related services.
- Coordinate internal activities such as meetings, team-building events, employee appreciation initiatives, community outreach efforts, and vendor lunch-and-learns.
- Arrange business and project-related travel, meetings, lunches, and similar scheduling needs when required.
Communication and Coordination
- Share updates and important information across the office clearly and efficiently.
- Communicate with clients, suppliers, and other external contacts as needed.
- Act as the central contact point for reception-related inquiries.
- Monitor office supplies and place orders when needed.
- Provide general administrative help to staff members.
Requirements
- 1 to 3 years of experience working as a receptionist or office administrator.
- Intermediate proficiency with MS Word, MS Excel, and PowerPoint.
- Strong written and spoken communication skills.
- Self-driven, organized, and able to manage priorities effectively.
- Comfortable multitasking and adapting in a busy, fast-moving environment.
- Friendly, approachable, and collaborative in a team setting.
- Willingness to learn and grow professionally.
