Role summary

Orwell Healthcare is hiring a full-time, permanent Receptionist for its Dublin 6 location at Orwell Private, Garville Avenue. The post sits at the front of house and combines warm reception service with administrative support, basic IT help, and coordination duties. The successful person will be the first point of contact for residents, families, visitors, and staff, helping to create a calm, professional, and efficient environment.

The organisation operates from two sites in Rathgar: Orwell Private, which provides convalescence, long-term care, and an acquired brain injury unit, and Orwell Queen of Peace, which offers long-term care. What the role involves

This opportunity is suited to someone who is confident working with people, enjoys a varied workload, and takes pride in delivering polished service. You will support day-to-day reception activity, help with light IT troubleshooting, manage administrative tasks, and assist with coordination work that keeps the organisation running smoothly. You will also work closely with a collaborative team while helping ensure a positive experience for residents, their families, and colleagues.

Responsibilities

  • Maintain a welcoming and professional front desk at all times.
  • Answer telephone calls, emails, and general enquiries while managing visitors courteously and efficiently.
  • Arrange viewings and assist prospective residents and their families in a professional manner.
  • Update pre-admission and occupancy lists on a daily basis.
  • Receive new admissions and help them settle in comfortably from arrival.
  • Coordinate with ambulance crews and direct them to the correct units.
  • Develop respectful, positive relationships with residents and family members.
  • Organise visiting schedules and complete the necessary risk assessments.
  • Handle incoming and outgoing post, deliveries, couriers, and transport logistics.
  • Order newspapers each day and ensure they are distributed appropriately.
  • Keep accurate logs for resident valuables held in safekeeping.
  • Ensure documentation is maintained in line with HIQA requirements.
  • Process residents’ small monthly bills and convalescent account entries with accuracy.
  • Keep resident records, contracts, and consent documents current.
  • Maintain brochures, tariff information, nursing forms, and admissions folders.
  • Record and coordinate transport for laboratory tests.
  • Support management and nursing teams with administrative projects.
  • Carry out photocopying, filing, document preparation, and general office support.
  • Arrange flowers and draft condolence letters with care and sensitivity.
  • Provide reception cover for colleagues when required.
  • Help staff with basic IT issues such as logins, printing, and system navigation.
  • Support the day-to-day use of office equipment and internal systems.
  • Escalate technical problems when needed and help maintain smooth communication.
  • Show an interest in AI and in improving the efficiency of systems and procedures.
  • Keep mandatory training up to date.
  • Work in line with Orwell Healthcare policies, procedures, and confidentiality requirements.

Candidate profile

The ideal applicant will have at least one year of experience in a receptionist or administrative position. They should bring strong communication and interpersonal skills, a friendly and professional manner, and the ability to stay composed in a busy setting. Good organisational ability, time management, multitasking skills, and a team-focused attitude are essential. Confidence with Microsoft Office, including Excel, and the ability to troubleshoot basic IT issues are also important.
