Job description

Role Overview

This position supports the Senior Project Coordinator, Project Manager, and Operations Administration Manager in planning and delivering projects from start to finish. The work covers coordination, scheduling, and procurement activities for projects ranging from small assignments to major deliveries.

As part of the Projects team, you will help ensure projects and related services are delivered effectively for the business. The role is focused on completing tasks in a cost-conscious and time-efficient way while following company policies and internal procedures.

Success in this role calls for initiative, independence, collaboration, and a strong eye for detail. You should also be comfortable adapting to changing priorities and workload levels across the team.

Key Responsibilities

  • Estimate, source, and accurately schedule the delivery of project materials and bill of materials.
  • Support operations in organising resources and planning budgets so milestones and deliverables are achieved.
  • Track project progress and keep a clear view of status throughout delivery.
  • Prepare and monitor project cash flow, and share updates with the finance team to maintain healthy cash movement.
  • Work within agreed project budgets and ensure spending stays aligned with plans.
  • Communicate and negotiate with suppliers, vendors, and subcontractors to secure competitive pricing and dependable service.
  • Support client and subcontractor onboarding activities.
  • Help prepare invoice valuations, client applications, and monthly invoicing.
  • Coordinate with finance and credit control teams on billing and collections matters.
  • Identify possible project risks and report them appropriately.
  • Assist operations in researching and understanding training requirements in line with country compliance standards.
  • Take part in both internal and external meetings as required.
  • Support annual stock count activities.

Requirements

  • Previous experience in office administration, project administration, project coordination, or another related support role.
  • Well-developed organisational skills and the ability to manage several tasks at once.
  • Confidence to work independently as well as contribute effectively in a team.
  • Strong written and verbal communication skills, along with good interpersonal ability.
  • Comfortable working in a busy, fast-changing environment.
  • A clean driving licence is an advantage.
  • A valid passport is required.
  • Strong working knowledge of MS Office, especially Excel, Outlook, and Teams.
