About the role

Hamilton City Council’s Infrastructure and Assets Group is seeking two experienced and forward-thinking Programme Coordinators to support the delivery of critical city infrastructure. One role is permanent, and the other is a fixed-term assignment ending on 30 June 2027.

Working within the Design & Deliver Unit and the Portfolio Office, you will help coordinate the council’s capital programme so projects remain aligned, well-governed, and progressing smoothly. This is a busy role spanning multiple infrastructure initiatives, where you will contribute across the full programme lifecycle from planning through close-out.

Key duties

  • Arrange programme meetings, prepare documents, record minutes, and track actions through to completion.
  • Support programme delivery across planning, execution, monitoring, and closure stages.
  • Create accurate reports, dashboards, and governance papers for programme and project stakeholders.
  • Help ensure programme and project methods are applied correctly while supporting capability development across teams.
  • Assist with financial administration, including purchase orders, forecasting, and expenditure monitoring.
  • Maintain schedules, milestones, and dependency tracking across multiple workstreams.
  • Support processes for risk, issue, and change control.
  • Work within council systems, policies, procurement procedures, and tools such as Psoda.
  • Support communication between project teams, the Portfolio Office, and wider council stakeholders.
  • Contribute to ongoing improvement, team culture, and health and safety practices.

What you’ll bring

The ideal candidate is highly organised, detail-conscious, and comfortable managing several priorities in a structured environment. You will be proactive, adaptable, and able to work independently while building strong working relationships.

Successful applicants will be accountable, practical, and solutions-oriented, with the ability to keep calm under pressure and follow through on commitments.

Experience and qualifications

  • A tertiary qualification in business, project management, or a related field.
  • At least 8 to 10 years of relevant experience.
  • Project management credentials such as PRINCE2, PMP, NZ Certificate/Diploma in Project Management (Level 4-5), or equivalent.
  • Experience supporting programme or project governance, coordination, reporting, and documentation, ideally in capital delivery or infrastructure.
  • Proven ability to coordinate multiple projects or programmes at the same time in a structured portfolio environment.
  • Hands-on experience with project financial administration, including budgets, forecasts, and expenditure tracking.
  • Strong capability in preparing, maintaining, and quality-checking project and programme documentation for delivery and governance use.
  • Working understanding of health and safety requirements relevant to projects and capital works.
  • Confidence using Psoda or similar systems, plus Microsoft Office tools including Teams, Project, Excel, and Outlook.
  • Ability to prioritise effectively, manage workload independently, and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to work with a broad range of internal and external stakeholders.

Additional information

The salary is approximately $85,000, depending on skills and experience.
