Role Overview
This position is for a Personal Assistant based in Dubai, supporting a senior executive in a fast-paced business environment. The role combines executive assistance, administrative coordination, calendar oversight, travel planning, communication handling, and selected personal support duties. Executive and Calendar Coordination
- Oversee the CEO’s diary, including meetings, appointments, and shifting priorities.
- Set up internal and external meetings, covering venue planning, catering, and logistics.
- Filter and organize incoming requests and communication in order of importance.
- Prepare meeting agendas, take notes, and record minutes when needed.
- Monitor follow-up actions and ensure commitments are completed on time.
Travel and Logistics
- Organize domestic and international travel, including flights, hotels, transport, visas, and detailed itineraries.
- Handle travel coordination for family members when required.
- Stay ahead of travel requirements and make sure arrangements run smoothly.
- Research destination-specific requirements and related support services.
Communication and Correspondence
- Manage email flow and keep track of important messages.
- Draft and send polished correspondence on behalf of the CEO.
- Route queries and requests to the right internal contacts.
- Maintain updated contact lists and stakeholder records.
- Spot and escalate relevant invitations, opportunities, and business communications.
Personal and Administrative Assistance
- Support personal appointments, household matters, and day-to-day administrative tasks.
- Coordinate personal payments, subscriptions, and associated paperwork.
- Keep records accurate and ensure deadlines are met.
- Handle confidential information carefully and professionally.
Household and Staff Coordination
- Organize schedules and activities for household support staff and drivers.
- Track attendance, leave, and operational needs.
- Review expenses and backup documents where needed.
- Help ensure the residence remains well maintained and operational needs are addressed.
Stakeholder Management
- Act as a professional liaison between the CEO and internal or external stakeholders.
- Build strong working relationships with business partners, clients, and service providers.
- Assist with special projects, events, communications, and other initiatives as required.
Requirements
- At least 2 years of experience as a Personal Assistant, Executive Assistant, or in a similar senior-support role.
- Must already be based in Dubai and able to work on-site.
- Strong organizational ability and excellent time management.
- Clear written and verbal communication skills.
- High standards of discretion and confidentiality.
- Ability to work independently while balancing multiple priorities.
- Comfortable using Microsoft Office and standard business productivity tools.
- Professional, practical, and solution-focused approach.
- Flexible enough to adapt to changing priorities and business needs.
Additional Information
- Occasional availability outside normal business hours may be needed.
- Some local and international travel may be required.
