Role Overview
This position supports the CEO of a fast-growing technology company in a demanding, high-visibility capacity. The right person will be a highly capable executive partner who can stay ahead of shifting priorities, balance business and personal demands, and operate with composure in a fast-moving environment. You will work closely with the Chief of Staff and serve as a central point of coordination across the organization, the CEO’s network, and household matters.
The ideal candidate is highly polished, exceptionally organized, emotionally intelligent, and calm under pressure. Success in this role requires sound judgment, discretion, and the ability to act as a trusted gatekeeper, problem-solver, and right hand across both professional and personal responsibilities.
Key Responsibilities
- Take ownership of the CEO’s complex calendar, coordinating internal meetings, external relationships, and personal commitments with careful judgment and confidentiality.
- Coordinate domestic and international travel from start to finish for both business and personal needs, including flights, lodging, ground transport, and live itinerary changes.
- Serve as a dependable communication bridge between the CEO, Chief of Staff, leadership, board members, outside partners, family, and household vendors or staff.
- Create briefing documents, meeting agendas, and follow-up notes so the CEO is prepared and focused on high-priority work.
- Review, sort, and respond to incoming messages across professional and personal channels, using strong judgment to determine urgency and escalation.
- Work in close partnership with the Chief of Staff on strategic initiatives, special projects, and day-to-day operational coordination.
- Organize logistics for board meetings, offsites, investor sessions, major events, and personal commitments such as dinners, family gatherings, and social plans.
- Support personal tasks such as errands, household coordination, gift sourcing, and lifestyle scheduling.
- Handle confidential and sensitive matters, both business-related and personal, with a consistently high level of professionalism.
- Stay ahead of needs, identify missing pieces, and resolve issues proactively in a dynamic, fast-paced setting.
Qualifications
- At least 3 years of experience supporting senior executives in a combined executive and personal assistant capacity, preferably in high-growth technology, media, entertainment, or consumer brands.
- Background supporting a high-speed CEO with a demanding calendar, broad external relationships, and overlapping professional and personal responsibilities.
- Strong organizational ability and excellent attention to detail, with the capacity to manage several priorities at once.
- Confident executive presence, clear communication skills, and a high level of emotional intelligence.
- Comfort working in ambiguous, fast-paced environments with high expectations, including after-hours availability when travel or personal needs arise.
- Trusted to maintain complete discretion and handle sensitive personal and business information responsibly.
- Advanced skills in Google Workspace, Microsoft Office, and collaboration platforms such as Slack, Asana, and Notion.
