Role Overview
The Operations Manager will keep the organization running smoothly by strengthening processes, coordinating internal workflows, and supporting cross-functional execution. This role works closely with the leadership team, including the CEO, VP of Strategy & Growth, and VP of Programs, to improve operations, manage projects, and support administrative functions across operations, HR, and technology. The position also helps foster a healthy team culture through recognition, policy support, and consistent implementation.
Key Responsibilities
- Build, roll out, and refine practical systems and workflows that can be sustained over time.
- Lead organization-wide initiatives from planning through delivery, making sure responsibilities, timelines, and expected outcomes are clearly defined.
- Support annual planning, fiscal-year transitions, and maintenance of the organizational calendar.
- Spot process gaps and inefficiencies, then design and implement better solutions.
- Run weekly operations meetings, all-team scrums, monthly lunch-and-learns, and quarterly strategy sessions.
- Coordinate the annual team retreat, including travel, lodging, and agenda planning.
- Organize mission-aligned events such as Demo Days and fundraising events while maintaining a high standard of quality.
- Prepare and share internal updates, announcements, celebrations, and team reminders.
- Offer operational and strategic input to leadership decisions.
- Monitor leadership priorities and help move strategic initiatives forward.
- Support the creation and tracking of annual strategic plans and budgets.
- Act as the operations point person for external vendors and contractors, including accounting, PR, and other partners.
- Oversee accounts payable and receivable processes and maintain proper documentation in Salesforce.
- Track vendor contracts, subscriptions, payment access, and donations to reduce duplication and improve control.
- Manage grant disbursements, program payments, and reimbursements through BILL.com.
- Help build a positive, inclusive workplace through recognition, engagement efforts, celebrations, and culture-building activities.
- Coordinate travel logistics for staff and organizational needs.
- Support appropriate use of PTO and leave in line with policy and applicable law.
- Encourage compliance with company policies and escalate concerns when needed.
- Handle hiring, onboarding, and offboarding for employees, fellows, interns, and contractors.
- Maintain employee and contractor records, agreements, and related documentation.
- Coordinate performance reviews, engagement surveys, and compliance audits.
- Partner with external HR and benefits providers on payroll, benefits administration, and compliance support.
- Oversee internal systems, tools, and access management, including Google Workspace, CRM platforms, and project tools.
- Maintain secure file organization, password management, and access controls.
- Support cybersecurity and data protection practices.
- Manage calendars and operational compliance deadlines.
- Work with legal counsel on contracts, renewals, and compliance matters.
- Maintain contract templates and help coordinate agreement execution.
- Support board meeting preparation, documentation, and recordkeeping.
Requirements
- 3 to 5 years of project management experience.
- At least 2 years of experience managing team members and coordinating across departments, outside partners, and contractors.
- At least 2 years of experience using project management platforms.
- At least 2 years of experience handling AP/AR and financial tools such as Stripe.
- At least 1 year of event planning and management experience.
- Strong ability to design processes that give structure and support team performance.
- Comfort with automation and multi-platform workflow integration.
- Hands-on experience with tools such as Salesforce, Airtable, Qualtrics, Slack, and BILL.com.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to work effectively with a fast-moving remote team.

Additional Information
This is a remote role, with preference for candidates who live in Phoenix, Chicago, or the DMV area. Applicants must be authorized to work in the US. The role is classified as exempt and reports to the VP of Strategy and Growth. The salary range is $60,000 to $80,000 depending on experience.
