Job description

Role Overview

The Operations Coordinator will manage and organize vehicle activities within the business sector, ensuring smooth delivery, replacement, follow-up, and closure processes. This role also focuses on delivering responsive customer support, resolving inquiries quickly, and maintaining service quality that supports high customer satisfaction and uninterrupted operations.

Key Responsibilities

  • Attend to customers and incoming phone calls, and provide answers to all questions and concerns.
  • Track customers each day regarding new vehicle deliveries, vehicles returned from maintenance, and business sector vehicle movement.
  • Accept vehicles when contracts are being closed.
  • Review customer-related records and reports, including user lists for all leased vehicles.
  • Handle external vehicle replacements by updating systems, removing users from the main vehicle, and assigning them again once maintenance is finished.
  • Monitor incoming department requests and coordinate with Customer Management for issues such as damage, tires, or missing documents like accident reports.
  • Reply to customer emails promptly and without unnecessary delay.
  • Make changes to user names in the system as needed.
  • Coordinate customer emails with the appropriate coordinators and continue follow-up until each request is completed.
  • Support customers with maintenance, breakdowns, and other related service matters.
  • Carry out daily branch inventory checks, reconcile inventory against system records, and coordinate with GBS for installing vehicle tracking devices according to system requirements.
  • Review vehicle status on a daily basis, including new vehicles, vehicles ready after maintenance, reserve units, and out-of-service units, and ensure closure actions are completed on time.
  • Make sure vehicles marked out of service are sent for maintenance promptly.
  • Inform user management officially by email when a vehicle is ready, whether new or returned after maintenance, and contact customers through calls and SMS as part of a combined communication approach.
  • Maintain daily follow-up through all communication channels until the vehicle is received.
  • Handle customer negotiations and work toward resolving complaints and concerns.
  • Track daily route lines for the region and ensure they are closed without delay.
  • Complete periodic vehicle inspections required for renewal of operation cards.

Additional Information

This position is based in Riyadh, Saudi Arabia and is a full-time, onsite role.
